Key Responsibilities
- Patient Record Management: Maintain accurate and up-to-date patient records, including admission, transfer, and discharge (ADT) details. This includes ensuring all documentation, such as consent forms and medical charts, are properly completed and filed, often within electronic health record (EHR) systems.
- Communication Coordination: Serve as the primary point of contact for the CCU, managing incoming phone calls, directing inquiries, and facilitating clear communication between medical staff, patients, and their families.
- Scheduling and Logistics: Schedule diagnostic tests, appointments, and procedures for patients, coordinating with other departments like the lab, pharmacy, and billing. This also includes assisting with staff meeting schedules and coordinating ambulance or transfer requirements.
- Administrative Support: Provide general administrative support to the nursing and medical staff, including data entry, preparing reports (such as daily census reports), and managing ward stationery and supplies inventory.
- Patient and Family Interaction: Greet and assist patients and visitors courteously, handling inquiries and concerns, and informing attendants about bill status and payment procedures. This requires empathy and professionalism when dealing with distressed individuals.
- Compliance and Confidentiality: Ensure strict adherence to hospital policies, legal regulations (like HIPAA in some contexts), and infection control protocols when handling confidential patient information and managing the unit.
Essential Skills and Qualifications
- Education: A high school diploma or GED is typically required, while formal training in medical office administration or an associate's degree is often preferred, especially in multi-specialty hospitals.
- Technical Skills: Proficiency in medical software, including electronic health record (EHR) systems (e.g., Epic, Cerner), patient scheduling software, and standard office software (Microsoft Office Suite). Fast and accurate typing skills are also essential.
- Soft Skills: Strong organizational skills, meticulous attention to detail, excellent communication, and the ability to multitask and prioritize effectively in a fast-paced, high-pressure environment.
- Knowledge: Sound knowledge of medical terminology, basic medical billing procedures, and hospital practices is crucial.
