Job Description (JD) – Internal Sales Executive / Sales Order Coordinator

Position Summary
We are looking for a proactive and detail-oriented Internal Sales Executive to support our sales, procurement, and production planning activities. The role will act as a bridge between Sales, Purchase, Stores, and Production departments to ensure timely order execution, material availability, and smooth customer delivery.
The candidate will be responsible for maintaining sales orders, coordinating purchase requirements against sales orders, monitoring stock levels, and supporting production planning activities.
Key Roles & Responsibilities
1. Sales Order Management
- Receive customer order details from Sales Team and create/maintain Sales Orders (SO) in ERP / system.
- Verify order details such as:
- Product specification
- Quantity
- Delivery schedule
- Commercial terms
- Coordinate with Sales Team for any order clarification or amendments.
- Maintain complete order tracking from order receipt to dispatch.
2. Production Planning Coordination
- Share confirmed sales orders with Factory / Production Planning team.
- Coordinate production requirements as per delivery commitments.
- Monitor production progress against order schedules.
- Follow up with production team for pending / urgent orders.
3. Purchase Order & Material Coordination
- Analyze material requirement against received Sales Orders.
- Coordinate with Procurement department for timely procurement.
- Ensure imported / local materials are available as per production schedule.
- Track pending purchase orders and expected material arrival.
4. Inventory & Stock Monitoring
- Monitor raw material, component, WIP, and finished goods stock levels.
- Maintain minimum / reorder stock levels to avoid shortages.
- Coordinate with Stores team regarding stock availability.
- Identify material shortages and excess inventory situations.
- Prepare stock status reports for management review.
5. Order Execution & Delivery Coordination
- Coordinate among Sales, Purchase, Stores, Production, and Dispatch teams.
- Ensure timely execution and dispatch of customer orders.
- Support delivery planning and shipment coordination.
- Communicate delivery status internally.
6. Documentation & Reporting
- Maintain updated MIS reports related to:
- Sales Order status
- Open Purchase Orders
- Material shortage report
- Stock reports
- Production follow-up status
- Maintain proper documentation.
- Generate periodic reports for management.

Technical Skills:
- Knowledge of Sales Order Processing
- Inventory / Stock Management
- Production Planning Coordination

- Strong MS Excel skills (VLOOKUP, Pivot Table, Reports)

Qualification & Experience
Education:
Bachelor’s Degree / Diploma in Commerce, Engineering, Supply Chain, Operations, or related field.
Experience:
2–5 years experience in Internal Sales / Sales Coordination / Production Coordination / Supply Chain in manufacturing industry.
Preferred Industry:
Manufacturing / Assembly / Industrial Equipment / Import & Trading / Engineering Products.
