About the Role
Design, monitor, and optimize multi-system GTM automation infrastructure. Own n8n workflows that drive prospect outreach, lead qualification, and pipeline management across multiple products. Help scale proven automation systems to new ventures.
Key Responsibilities:
Pipeline Monitoring & Execution (40%)
- Daily health checks on all active n8n workflows
- Monitor email (Instantly), LinkedIn (Clay), and data enrichment (BrightData, Apollo) integrations
- Track campaign metrics: sends, opens, clicks, responses, lead quality
- Flag API failures, rate limits, or integration breaks
- Update CRM (Notion) with real-time campaign status
Troubleshooting & System Health (35%)
- Debug failed n8n executions (webhooks, conditions, API errors)
- Diagnose API integration issues (authentication, rate limits, data mapping)
- Resolve email deliverability problems (bounces, spam complaints, warm-up issues)
- Manage account status (LinkedIn restrictions, IP reputation, email warm-up)
- Document root causes and implement fixes
Documentation & Knowledge Transfer (20%)
- Create runbooks for common issues and resolutions
- Document workflow logic (triggers, steps, error handling)
- Build replication guides for deploying workflows to new products
- Maintain process documentation as systems evolve
- Help scale workflows across different use cases
Optimization & Reporting (5%)
- Weekly metrics: response rates, lead quality, cost per lead, uptime %
- Identify performance bottlenecks and optimization opportunities
- Suggest sequence adjustments based on data
- Report to founder with actionable insights
Required Skills
Must-Have:
- 1–2 years n8n workflow experience (built complex workflows, debugged failures)
- Strong API integration knowledge (webhooks, REST, authentication, error handling)
- Comfort with multi-tool environments (can connect and troubleshoot tool interactions)
- Attention to detail (catch execution errors, track campaign metrics accurately)
- Troubleshooting mindset (diagnose root causes, solve problems systematically)
Nice-to-Have:
- Notion database or CRM experience
- Email platform experience (Instantly, Lemlist, Outreach, etc.)
- LinkedIn automation tool experience (Clay, Apollo, etc.)
- Python or JavaScript basics for custom n8n code nodes
- Basic data analysis (understand funnels, conversion metrics)

Daily Responsibilities
- Monitor n8n dashboard for failed executions (15 min)
- Check Notion CRM for overnight responses (10 min)
- Review API usage and quotas (10 min)
- Troubleshoot any issues that surfaced (varies)
- Update campaign status and metrics (20 min)
- Document fixes and improvements (20 min)
Total: 4–5 hours/day focused work
Success Metrics
Month 1–3:
- All workflows running with 95%+ uptime
- Response time <2 hours for issues
- Complete documentation of top 3 workflows
Month 4–6:
- <24 hour resolution time for workflow breaks
- Identified and implemented 3+ performance optimizations
- Successfully helped replicate 2+ workflows to new product
Month 7–12:
- 5+ active workflows managed across products
- <5 hours/week troubleshooting (systems are stable)
- Ready to scale to new automation channels
