An independent brand strategy consultancy working with premium lifestyle brands in India. The work involves working with early stage founders to help take their brand worlds from 0 to 1 to 10.
The practice is growing, and the operational systems that support the client work need to be built and maintained as it does.
Role summary
The Operations Associate is responsible for the coordination layer of the practice: tracking client communication and deliverables, managing scheduling and follow-up, supporting the invoicing cycle, and ensuring that commitments made to clients are met on time.
Alongside this, the role involves designing the systems that make the practice repeatable, like trackers, templates and standard operating procedures, in close collaboration with the founder. This is a build-and-run role rather than a maintenance role.
Key responsibilities
Coordination and tracking
- Maintain a central tracker covering client conversations, deliverables, deadlines and invoices, with clear owners and statuses
- Monitor open threads across email, WhatsApp and Instagram, and surface anything that has gone unanswered
- Provide written updates at the start and end of each working day covering priorities, progress and outstanding items
Client communication
- Schedule and reschedule client meetings and manage the founder's calendar
- Circulate decisions, next steps, owners and deadlines from client calls
- Send weekly status updates to clients
- Follow up with clients on outstanding inputs, approvals and information
Internal follow-through
- Track approvals, replies and sign-offs pending with the founder and ensure they progress
- Maintain the engagement timeline for each client and flag risks to delivery in advance
Invoicing support
- Track invoices raised, due and overdue
- Send payment reminders on an agreed cadence and escalate where required
Systems and documentation
- Build and maintain the trackers, templates and workflows the practice runs on
- Document processes as standard operating procedures
What you will gain

Requirements:
- Impeccable organisational and follow-through skills
- High technological proficiency, especially with tools such as Notion, Airtable and Google Workspace
- Excellent communication skills in English, both written and spoken (without the use of AI)
- Comfort following up persistently with clients and with the founder
- Ability to work independently in a remote, largely asynchronous setup
- A preference for asking clarifying questions early rather than proceeding on assumption
Desirable:
- Prior experience in an agency, studio, consultancy or similar small-team environment
- Familiarity with the D2C, fashion or lifestyle sectors
