Job Summary
The Receptionist is the first point of contact for patients and visitors. The role involves providing excellent customer service, managing appointments, handling patient registrations, coordinating with technicians and radiologists, maintaining accurate records, and ensuring a smooth patient experience.
Key ResponsibilitiesPatient Registration
- Welcome patients and visitors professionally.
- Register new patients and verify existing patient details.
- Collect demographic information and update records.
- Verify prescriptions and investigation requests.
- Generate patient IDs and registration forms.
Appointment Management
- Schedule, reschedule, and confirm appointments.
- Coordinate appointments for MRI, CT, PET-CT, Ultrasound, X-ray, Mammography, CBCT, and other investigations.
- Manage walk-in patients efficiently.
- Minimize patient waiting time.
Billing & Payments
- Generate estimates and invoices.
- Collect payments through cash, UPI, cards, and online methods.
- Issue receipts.
- Perform end-of-day cash reconciliation.
- Maintain billing accuracy.
Telephone & WhatsApp Communication
- Answer incoming calls promptly and professionally.
- Respond to WhatsApp enquiries.
- Explain investigation preparation instructions.
- Provide accurate information regarding services and timings.
- Convert enquiry calls into confirmed appointments.
- Follow up on missed appointments.
Patient Coordination
- Guide patients through the diagnostic process.
- Coordinate with technicians regarding patient readiness.
- Inform patients about expected waiting times.
- Arrange priority handling for emergency cases.
- Assist elderly and differently abled patients.
Report Management
- Inform patients when reports are ready.
- Coordinate report delivery.
- Email reports when applicable.
- Maintain confidentiality of patient information.
Insurance & Corporate Patients
- Verify insurance or corporate documents.
- Coordinate with billing and TPA teams.
- Ensure completion of required documentation.
Documentation
- Maintain accurate patient records.
- Scan and upload referral documents.
- File consent forms.
- Ensure compliance with record-keeping policies.
Coordination
- Coordinate with radiologists, technicians, nurses, housekeeping, and administration.
- Escalate patient concerns promptly.
- Ensure smooth patient flow throughout the centre.
Customer Service Expectations
- Maintain a courteous and empathetic attitude.
- Address patient concerns professionally.
- Ensure a positive patient experience.
- Maintain confidentiality at all times.
- Represent the centre with professionalism.
Required Skills
- Excellent verbal and written communication in English, Hindi, and Marathi.
- Strong interpersonal skills.
- Computer proficiency.
- Experience with Hospital Information Systems (HIS) or diagnostic software (e.g., Gemini) is preferred.
- Knowledge of Microsoft Office.
- Good telephone etiquette.
- Ability to multitask in a fast-paced environment.
- Strong organizational skills.
- Attention to detail.
Qualifications
- Graduate in any discipline (preferred).
- Minimum Higher Secondary (12th Pass) with relevant experience may be considered.
- Experience in hospitals, diagnostic centres, or healthcare reception is preferred.
Experience
- 1–3 years in a hospital or diagnostic centre preferred.
- Freshers with excellent communication skills may also apply.
Working Hours
- Rotational shifts as per centre requirements.
- Weekly off as per roster.
