Company Profile:
A reputed USA-based export organization engaged in international trade, logistics, and global business operations.
Operational Responsibilities:
1. Export Documentation & Compliance
· Prepare, verify, and finalize all international trade documents including Commercial Invoices, Packing Lists, Certificates of Origin, Bill of Lading, and related shipping documents.
· Ensure all export documentation complies with international trade regulations, INCOTERMS, and client requirements.
· Coordinate with shipping lines, freight forwarders, banks, and chambers of commerce for documentation formalities and approvals.
2. Billing & Financial Coordination
· Prepare and verify billing documents, ensuring accuracy in pricing, terms, and applicable taxes or duties.
· Maintain coordination with finance and accounts departments for invoice settlements and payment tracking.
· Assist in documentation related to LC (Letter of Credit) and bank negotiations.
3. Client & Stakeholder Coordination
· Communicate with clients, vendors, and internal departments to ensure timely document submission and shipment release.
· Liaise with logistics teams for dispatch schedules, shipment tracking, and document sharing.
· Maintain strong relationships with banks, freight forwarders, and customs agents.
4. Data Management & Reporting
· Maintain systematic electronic and physical records of all export-related documentation.
· Track and report documentation timelines, pending approvals, and shipment status to management.
· Ensure confidentiality and data accuracy in all documentation processes.
5. Quality & Accuracy Control
· Ensure a high level of accuracy in documentation preparation and review.
· Identify and correct discrepancies proactively to avoid shipment delays or compliance issues.
· Implement process improvements to enhance operational efficiency and accuracy.
6. Process Development & Team Coordination
· Support development of standard operating procedures (SOPs) for trade documentation.
· Coordinate with team members to ensure smooth workflow and timely delivery of tasks.
· Assist in training new team members on documentation systems and export procedures.
Skills & Competencies:
· Strong knowledge of international trade documentation, export-import procedures, and INCOTERMS.
· Working knowledge of logistics, shipping, and banking documentation.
· Proficiency in MS Office (Word, Excel) and documentation software (e.g., ERP, Tally, or export management tools).
· Excellent communication and coordination skills.
· High attention to detail and accuracy in document preparation.
· Ability to meet deadlines and manage multiple priorities simultaneously.
Qualifications & Experience:
Education: Bachelor’s degree/ Bachelor’s degree in International Business, Commerce, or related field.
Experience: Minimum 5–7 years of experience in export documentation, preferably in a trading or export organization.
