Key Responsibilities
Client Relationship Management
Serve as primary day-to-day contact for banking client representatives at assigned properties. Maintain professional communication aligned with client brand standards and corporate culture. Participate in client meetings and provide operational updates to the Property Manager Lead. Respond promptly to client requests and escalate priority issues appropriately. Support quarterly business reviews with property performance data and operational insights.
Property Operations and Standards
Ensure banking facilities maintain exemplary appearance and operational standards befitting financial institution brand requirements. Conduct regular property inspections focusing on security, cleanliness, and professional presentation. Coordinate maintenance and repairs with minimal disruption to banking operations. Oversee janitorial, landscaping, and building services to maintain premium facility conditions. Monitor building systems and coordinate preventive maintenance programs.
Vendor and Service Coordination
Manage vendor relationships ensuring service levels meet banking client expectations. Obtain competitive quotes for services while prioritizing quality and reliability. Verify vendor insurance, credentials, and compliance with client security requirements. Coordinate after-hours and weekend work to minimize operational impact. Track vendor performance and escalate concerns to Property Manager Lead.
Financial and Administrative Support
Support operating budget management and expense tracking for assigned properties. Process invoices and maintain accurate financial records. Prepare monthly operating reports and variance analysis for Property Manager Lead review. Assist with annual budget preparation and capital planning. Manage purchase orders and ensure proper coding and approvals.
Reporting and Documentation
Provide regular operational updates to Property Manager Lead on property performance, issues, and opportunities. Maintain comprehensive property files including leases, service contracts, warranties, and correspondence. Prepare executive summaries for client reporting. Document property condition through photographs and inspection reports. Track key performance metrics including service request response times and completion rates.
Emergency Response
Serve as backup emergency contact for assigned properties. Coordinate with Property Manager Lead during building emergencies or critical incidents. Support business continuity planning to ensure minimal disruption to banking operations. Maintain emergency contact lists and response protocols.
Required Qualifications
Two to four years of property management experience, preferably serving corporate or financial services clients. Demonstrated understanding of professional office environment standards and client service excellence. Strong organizational and project management capabilities. Experience with property management systems and building automation platforms. Proficiency with Microsoft Office Suite, particularly Excel for financial reporting. Valid driver's license and ability to travel between assigned properties. Bachelor's degree in business, real estate, facilities management, or related field preferred.
