PURPOSE OF THE ROLE
The Stores, Dispatch & Logistics Manager will have end-to-end responsibility for Stores, Dispatch and Logistics operations.
The role will ensure that materials and finished goods are received correctly, stored safely, maintained accurately, dispatched correctly and delivered to customers on time.
The Manager will also be responsible for inventory accuracy, dispatch accuracy, vehicle planning, transporter management, shipment tracking, POD closure and logistics cost control.
The ultimate objective is:
RIGHT MATERIAL → RIGHT STOCK → RIGHT DISPATCH → RIGHT VEHICLE → RIGHT CUSTOMER → ON-TIME DELIVERY → POD CLOSED
KEY RESPONSIBILITIES
1. Stores & Inward Management
Manage complete day-to-day Stores operations.
Supervise all material inward and receiving activities.
Verify incoming material against PO / delivery documents.
Check quantity, condition and basic specifications.
Ensure GRN/inward documentation is completed accurately and within defined TAT.
Report shortages, damages, wrong material or discrepancies immediately.
Ensure proper storage and identification of all materials.
Maintain systematic bin/location management.
Ensure proper segregation of raw materials, finished goods, rejected goods, returns and non-saleable material.
2. Inventory Management
Take complete ownership of physical and system inventory.
Ensure stock records are accurate and updated on time.
Conduct regular cycle counts and physical stock verification.
Investigate and close stock variances.
Control stock loss, damage and pilferage.
Monitor slow-moving, excess and obsolete inventory.
Ensure proper utilisation of warehouse space.
Maintain complete accountability for every material movement.
3. Material Issue to Production
Issue materials to Production against authorised requirements.
Ensure correct material and quantity are issued.
Maintain proper records of material issued against production/order requirements.
Coordinate with Production for urgent and shortage requirements.
Monitor unusual material consumption and report deviations.
Ensure material issued is properly accounted for in the system.
4. Finished Goods Management
Receive completed finished goods from Production.
Verify quantity and basic condition before accepting finished goods.
Ensure finished goods are properly labelled and stored.
Maintain order-wise finished goods records.
Keep finished goods ready according to dispatch priorities.
Coordinate with Operations regarding delivery commitments.
Ensure no finished goods remain pending due to lack of coordination or documentation.
5. Dispatch Management
The Stores Manager will have complete accountability for correct and timely dispatches.
Prepare daily dispatch plans based on delivery commitments.
Coordinate with Operations/Sales for dispatch priorities.
Verify customer name, order number, product, quantity, destination and documentation before dispatch.
Ensure 100% dispatch accuracy.
Prevent wrong customer, wrong product, wrong quantity and wrong destination dispatches.
Ensure finished goods are packed and ready as per dispatch requirements.
Coordinate loading of vehicles.
Ensure proper loading sequence to prevent damage.
Maintain dispatch documentation and records.
Ensure urgent dispatches are prioritised appropriately.
Immediately escalate any dispatch risk that may affect customer delivery.
Ensure dispatches are completed within the committed timeline.
