We are looking for a responsible and organized Office Administrator to oversee the day-to-day administrative operations of the company. The ideal candidate will ensure smooth office functioning, maintain records, coordinate with employees and vendors, support HR and accounts, and provide administrative assistance to management.
Office Administration
- Manage daily office operations and ensure a clean, organized workplace.
- Maintain office supplies, stationery, and inventory.
- Coordinate maintenance of office equipment and facilities.
- Handle incoming calls, emails, and visitor management.
Documentation & Record Management
- Maintain employee files and company records.
- Prepare letters, quotations, purchase orders, invoices, agreements, and reports.
- Organize both physical and digital documentation.
- Ensure confidentiality of company information.
- Assist with employee onboarding and documentation.
- Maintain attendance, leave records, and personnel files.
- Coordinate interview schedules and communicate with candidates.
- Support employee accommodation and travel arrangements when required.
Vendor & Purchase Coordination
- Coordinate with suppliers and service providers.
- Obtain quotations and process purchase requests.
- Track deliveries and maintain purchase records.
- Maintain vendor database and documentation.
- Accounts Coordination
- Assist in preparing invoices and payment follow-ups.
Operations Support
- Coordinate with field engineers regarding schedules and documentation.
- Maintain service reports, AMC records, and client documentation.
- Support project documentation and administrative requirements.
- Assist management with daily operational activities.
Compliance
- Maintain statutory and company records.
- Ensure compliance with company policies and administrative procedures.
- Support audits and documentation whenever required.
- Coordinate with the accounts team regarding bills and expenses.
- Maintain petty cash records and expense documentation.
- Support GST and invoice documentation as required.
Pay: ₹15,000.00 - ₹25,000.00 per month
