Job Location: Delhi with Noida weekly coverage
Experience Required: Min 3-4 years of facility management experience in a BPO setup
1. Financial & Petty Expense Management (Admin - Core) Petty Cash & Expense Control: Supervise day-to-day petty expense management, ensuring all transactions are strictly governed by cost-effective efficiency and remain within assigned budget thresholds. Regional Monthly Budgeting: Formulate, track, and manage monthly operational budgets for the primary office and nearby regional facilities (including Delhi and Noida). Cost Optimization: Monitor administrative expenditures to eliminate waste, optimize resource allocation, and ensure maximum value for operational spending.
2. Procurement, Rental & Asset Management (Admin - Core) Lease & Rental Management: Handle all aspects of office rentals, property leases, and document management. Ensure timely coordination with landlords and renewal processing. Vendor & Utility Management: Oversee relationship management and timely payment processing for utility bills (Electricity, Water, and Telecom). Physical Asset Management: Track, audit, and maintain all company physical assets. Maintain an up-to- date, accurate data repository of all assets in the ERP system and regional Google Drive backups. AMC Oversight & Property Insurance: Oversee Annual Maintenance Contracts (AMC) and Property Insurance Management, ensuring timely renewals and compliance.
3. Infrastructure, Health & Safety (Admin - Core) Administrative Fire & Safety: Take complete ownership of administrative fire safety. Ensure all fire safety equipment is fully certified, up-to-date, and functional. Organize regular fire drills, safety audits, and employee training sessions. Estate Management & Upkeep: Oversee the day-to-day maintenance, cleanliness, and overall management of all company properties to keep facilities and supplies in optimal condition. Physical Security: Implement, monitor, and audit physical security protocols and access control systems to protect employees and company assets.
4. General Administration & Liaison (Admin - Support) Liaison & Compliance: Build and maintain professional relationships with government bodies, statutory authorities, and regulatory agencies. Act as the company representative for administrative operations compliance. Travel & Transport: Coordinate employee travel arrangements and manage inter-office transportation and conveyance systems seamlessly. Food & Beverage Management: Oversee catering services, monitor food/beverage vendor performance, and maintain high quality and hygiene standards.
5. HR Hiring, Operations & Compliance (HR - Support) Talent Acquisition Support: Source and place job advertisements on various portals, screen incoming applications, conduct initial interviews, and maintain the shortlisted candidate tracker for the Senior Manager. HR Operations & Payroll Assistance: Maintain meticulous employee records and monthly attendance trackers. Assist the HR Head with day-to-day HR operations and monthly payroll processing. Workplace Grievance & POSH Compliance: Promote a safe, respectful, and compliant workplace in line with the Prevention of Sexual Harassment (POSH) Act. Serve as a liaison for staff complaints and address employee grievances promptly.
Pay: ₹20,000.00 - ₹25,000.00 per month
