The Party Order Executive will be responsible for managing party and event orders from enquiry to execution. The role involves coordinating with customers, preparing orders, ensuring timely dispatch and delivery, coordinating with internal teams, and ensuring a high-quality customer experience.
Key Responsibilities
- Handle party and event order enquiries received through calls, WhatsApp, walk-ins, and other channels.
- Understand customer requirements including date, venue, guest count, products, quantities, flavours, cart requirements, and other arrangements.
- Prepare and share quotations and order details with customers.
- Follow up with customers and convert enquiries into confirmed orders.
- Coordinate with Production, Dispatch, Stores, Accounts, and Operations for smooth order execution.
- Ensure all confirmed orders are prepared as per the approved quantity, product specifications, and customer requirements.
- Coordinate and ensure timely delivery and setup at the event location.
- Ensure proper cart presentation, product condition, cleanliness, packaging, and overall presentation.
- Coordinate with the assigned party staff/crew and ensure they are properly groomed and briefed.
- Ensure employees handling the event have adequate product knowledge and customer-service skills.
- Be present or coordinate closely during important events to ensure smooth execution.
- Collect customer feedback after every party order using the Party Order Feedback Card.
- Record and report remarks, complaints, follow-ups, and customer requirements.
- Maintain a database of party customers, enquiries, confirmed orders, cancellations, and repeat-order opportunities.
- Follow up with previous customers for future events and repeat orders.
- Identify opportunities for upselling and cross-selling additional products or services.
- Ensure all payments, invoices, and order-related documentation are properly coordinated with Accounts.
- Prepare regular Party Order Sales & Fulfilment Reports for management.
- Escalate any operational issue, delay, customer complaint, or product-quality concern immediately to the reporting manager.

Qualification & Experience
- Graduate in any discipline.
- 1–3 years of experience in sales, catering, events, hospitality, customer service, or a similar role preferred.
- Experience in party orders, catering, events, food & beverage, or FMCG will be an added advantage.
- Freshers with strong communication and customer-handling skills may also be considered.
