Role & Responsibilities
Meeting Support & Action Tracking
- Coordinate the CTO’s calendar, internal syncs, client calls, and team meetings.
- Attend key technical and operational meetings to take clear notes, summarize discussions, and record action items.
- Follow up with team leads (Software Development, QA, DevOps, Hardware/IoT, PMO) on assigned tasks, project deadlines, and status updates.
- Technical & Corporate Communication
- Help draft clear internal emails, meeting recaps, team announcements, and status updates using appropriate technical terminology.
- Coordinate messages between the CTO and department leads to ensure questions and updates are shared without unnecessary delays.
- Maintain organized trackers and documentation for ongoing department initiatives.
Presentations & Documentation
- Help prepare slides, project decks, and visual materials for internal reviews, team all-hands, and client discussions.
- Compile simple status updates and project highlights from different teams into concise summaries for the CTO.
- Format and proofread technical documents, reports, and capability notes.
Education/Qualification (if any Certification)
- Bachelor’s degree in any or relevant field.
- 2–4 years of experience as an Executive Assistant, Project Coordinator, PMO Assistant, or Operations Coordinator, preferably within an IT/Software company.
- Strong written and verbal communication skills for drafting professional emails, recaps, and slide decks.
- Good organizational skills with the ability to track multiple action items and follow up with team members politely and consistently.
- Comfortable using MS Office / Google Workspace (especially Word/Docs, Excel/Sheets, PowerPoint/Slides), along with basic familiarity with tools like Outlook, Onenotes, Slack, or Teams.
