Sourcing Officer / Sourcing Executive (Garment Industry)

Job Purpose
The Sourcing Officer / Sourcing Executive is responsible for sourcing fabrics, trims, accessories, and other raw materials required for garment production. The role involves vendor identification, price negotiation, purchase order management, supplier follow-ups, and coordination with merchandising, production, quality, and stores to ensure timely availability of materials while maintaining cost efficiency and quality standards.
Key Responsibilities
Vendor Sourcing & Development
- Identify and develop new vendors for fabrics, trims, accessories, woven & knits and garment-related requirements.
- Evaluate suppliers based on quality, pricing, delivery performance, production capacity, and compliance.
- Maintain strong relationships with existing suppliers and develop alternate sources to reduce supply risks.
- Conduct market research to identify new materials, suppliers, and cost-saving opportunities.
Procurement & Purchase Management
- Obtain quotations from multiple vendors and prepare comparative statements.
- Negotiate prices, payment terms, delivery schedules, and commercial terms.
- Raise Purchase Orders (POs) as per approved requirements.
- Track purchase orders from placement to final delivery.
- Ensure timely procurement of materials to support production schedules.
Material Planning & Coordination
- Coordinate with Merchandising, Production Planning, Quality, Stores, and Finance teams for material requirements.
- Follow up with suppliers to ensure timely dispatch and delivery of materials.
- Resolve supply delays, shortages, and material-related issues.
- Monitor production schedules and align procurement activities accordingly.
Quality & Compliance
- Ensure procured materials meet approved specifications and quality standards.
- Coordinate sample approvals and quality inspections where required.
- Work with suppliers to resolve quality-related issues and implement corrective actions.
- Ensure suppliers comply with company quality, ethical, and sustainability standards.
Inventory Coordination
- Monitor inventory levels of fabrics, trims, and accessories.
- Coordinate with the stores team for stock reconciliation and inventory updates.
- Assist in minimizing excess inventory while avoiding stock shortages.
- Support periodic stock audits and inventory verification.
Documentation & Reporting
- Maintain supplier records, quotations, purchase orders, contracts, and procurement documentation.
- Update procurement status and delivery schedules in ERP or internal systems.
- Prepare daily, weekly, and monthly sourcing and procurement reports.
- Maintain accurate MIS reports for management review.
Educational Qualification
- Bachelor's degree in Textile Engineering, Fashion Technology, Apparel Manufacturing, Commerce, Business Administration, or a related field.
- Diploma or certification in Textile, Apparel, Procurement, or Supply Chain Management is an added advantage.
Experience
- 3–8 years of experience in sourcing or procurement within the garment or textile industry.
- Experience sourcing fabrics, trims, accessories, and woven & knits
- Familiarity with garment manufacturing processes and vendor management.
