KEY RESPONSIBILITIES
Pharmacy Inventory Management
- Receive, verify, and update all incoming pharmaceutical stock at the hospital pharmacy
- Maintain accurate SKU-level records for all medicines, consumables, and medical supplies
- Conduct daily, weekly, and monthly stock counts and reconcile with system entries
- Flag slow-moving, near-expiry, or expired inventory for timely action
- Coordinate with the central warehouse for replenishment and stock transfers
Doctor Medicine Box Management
- Track, record, and replenish doctor medicine boxes assigned to each visiting/resident doctor
- Ensure accurate documentation of items issued from and returned to each doctor box
- Maintain a dedicated logbook/Excel tracker for doctor-wise medicine box inventory
- Conduct regular audits to ensure no stock leakage or unauthorized usage from doctor boxes
Home Visit Kit Support
- Prepare and pack medicine kits for patient home visits as per doctor/nurse prescription
- Track items dispatched for home visits and ensure returns are accounted for
- Maintain home visit dispatch records including patient name, kit contents, date, and return status
- Coordinate with clinical staff to anticipate home visit demands and maintain buffer stock
Data, Reporting & Compliance
- Maintain all inventory data in Excel with accurate formulas, pivot tables, and daily reconciliation sheets
- Generate daily stock reports, consumption reports, and variance analysis for the pharmacy manager
- Ensure all pharmacy records comply with applicable pharmacy regulations and hospital SOPs
- Maintain proper FIFO (First In First Out) rotation for all pharmaceutical products
QUALIFICATIONS & EXPERIENCE
- Education D. Pharma (Diploma in Pharmacy) — Mandatory OR any Graduate who
- has worked in a Human/Clinical Pharmacy setup for 1+ years
- Experience 1–3 years of pharmacy inventory or stock management experience
- preferred
- Excel Skills Must be comfortable with Excel: data entry, VLOOKUP, basic formulas,
- pivot tables, stock trackers
- Numbers Aptitude Must have strong numerical accuracy — ability to manage large SKU
- counts without errors
- Language Basic English + local language for documentation and communication
SKILLS REQUIRED
- Knowledge of pharmaceutical products, generic names, and medicine categories
- Familiarity with pharmacy regulations, drug storage conditions, and expiry management
- Strong attention to detail with zero tolerance for stock discrepancies
- Ability to manage high SKU volume across multiple categories simultaneously
- Good communication skills to liaise with doctors, nurses, and warehouse staff
- Basic accounting/numerical mindset to manage stock valuation and consumption tracking
