Service Advisor – Tata Motors Authorized Workshop
Job Purpose
To receive customer vehicles for service and repairs, accurately identify customer concerns, prepare job cards and estimates, coordinate repair activities with workshop staff, ensure timely delivery of vehicles, and maintain high customer satisfaction.
Key Responsibilities1. Customer Reception and Vehicle Intake
- Welcome customers arriving for service or repairs.
- Conduct vehicle walk-around inspection with the customer.
- Record customer complaints, observations, and service requirements.
- Explain service processes, timelines, and estimated costs.
- Prepare and open Job Cards (JCs) in the Dealer Management System (DMS).
- Verify vehicle history, warranty status, and service records.
2. Diagnosis and Technical Coordination
- Understand customer concerns and translate them into clear technical descriptions.
- Coordinate with workshop controllers, foremen, and technicians.
- Arrange preliminary inspections and diagnostics.
- Communicate technical findings to customers in understandable language.
- Obtain customer approval before additional repairs are performed.
3. Estimate Preparation
- Prepare repair estimates including:
- Labor charges
- Spare parts costs
- Consumables
- Taxes
- Explain estimates and repair recommendations to customers.
- Obtain approvals for additional work.
4. Service and Repair Monitoring
- Track vehicle progress throughout the repair process.
- Coordinate with:
- Technicians
- Parts department
- Workshop controller
- Warranty department
- Ensure jobs are completed within promised delivery time.
- Escalate delays and arrange corrective action when required.
5. Vehicle Delivery
- Verify completion of repairs.
- Review quality control reports.
- Explain work performed to the customer.
- Explain replaced parts and repair invoices.
- Ensure vehicle cleanliness before delivery.
- Obtain customer acknowledgement and feedback.
6. Customer Relationship Management
- Build long-term customer relationships.
- Handle customer complaints professionally.
- Conduct service follow-up calls.
- Encourage repeat service visits.
- Improve Customer Satisfaction Index (CSI) scores.
- Support customer retention activities.
7. Warranty and Service Campaign Handling
- Check warranty eligibility.
- Coordinate warranty claims documentation.
- Inform customers about:
- Recall campaigns
- Service campaigns
- Extended warranty programs
- Annual maintenance packages
8. Sales Responsibilities
Service Advisors often have revenue targets related to:
- Value-added services
- Wheel alignment and balancing
- Extended warranties
- Annual maintenance contracts (AMC)
- Genuine accessories
- Preventive maintenance packages
- Vehicle detailing services
Daily Activities
A typical day may include:
- Attending morning service meetings.
- Receiving 10–25 customer vehicles.
- Preparing job cards.
- Coordinating repairs.
- Updating customers on repair status.
- Arranging approvals for additional work.
- Delivering repaired vehicles.
- Following up on pending customer concerns.
- Meeting CSI and revenue targets.
Required QualificationsEducational Qualification
- Diploma in Automobile Engineering (preferred)
- B.E./B.Tech in Automobile or Mechanical Engineering
- ITI with relevant automotive experience
- Graduate with automobile service experience
Experience
- Fresher to 2 years: Junior Service Advisor
- 2–5 years: Service Advisor
- 5+ years: Senior Service Advisor / Team Leader
Required Technical Skills
- Knowledge of passenger vehicle systems:
- Engine
- Transmission
- Suspension
- Steering
- Braking systems
- HVAC systems
- Electrical systems
- EV systems (for electric vehicles)
- Ability to read service manuals.
- Basic diagnostic understanding.
- Warranty process knowledge.
- Dealer Management System (DMS) usage.
- MS Excel and email communication.
