Job Summary
ABODE School is seeking for an organized and detail-oriented Procurement Executive to manage the school's purchasing activities efficiently. The ideal candidate will be responsible for sourcing quality products and services, negotiating with vendors, maintaining inventory levels, and ensuring timely procurement while adhering to the school's budget and procurement policies.
Key Responsibilities
- Identify, evaluate, and onboard reliable vendors and suppliers.
- Obtain quotations, compare prices, and negotiate favorable terms.
- Process purchase requisitions and prepare purchase orders.
- Procure educational materials, classroom supplies, laboratory equipment, IT equipment, office supplies, furniture, housekeeping materials, and other school requirements.
- Coordinate with various departments to understand procurement needs and ensure timely delivery.
- Track orders and follow up with vendors to ensure on-time delivery.
- Verify received materials against purchase orders and coordinate with stores for inventory updates.
- Maintain accurate procurement records, vendor databases, quotations, invoices, and purchase documentation.
- Monitor stock levels and coordinate with departments to avoid shortages or overstocking.
- Ensure purchased items meet the required quality standards and specifications.
- Resolve issues related to defective or delayed deliveries.
- Develop and maintain strong relationships with vendors while identifying cost-saving opportunities.
- Ensure compliance with school procurement policies and financial procedures.
- Prepare procurement reports, expense summaries, and vendor performance evaluations.
- Support annual budgeting by providing procurement estimates and market pricing.
- Coordinate with the Accounts team for invoice verification and payment processing.
Qualifications
- Bachelor's degree in Commerce, Business Administration, Supply Chain Management, or a related field is preferred / Any Bachelor's Degree.
- 3–5 years of procurement or purchasing experience, preferably in a school, educational institution, or corporate environment.
- Proficiency in MS Office (Excel, Word) and procurement/inventory management software.
- Knowledge of vendor management, inventory control, and purchase documentation.
