About the Role
We are looking for a highly organized, detail-oriented, and proactive Executive Assistantto work directly with the Managing Director.
This role combines business process coordination, accounting support, follow-ups, reporting, and executive assistance. The ideal candidate will ensure smooth day-to-day operations by coordinating between sales, accounts, purchase, logistics, suppliers, and management.
This is a position for someone who enjoys bringing structure to a fast-moving business and ensuring that tasks are completed accurately and on time.
Key Responsibilities
Process Coordination
- Track and coordinate business processes across sales, purchase, accounts, logistics, and dispatch departments.
- Maintain records of pending tasks, customer commitments, supplier deliveries, and internal deadlines.
- Ensure timely follow-ups with customers, suppliers, transporters, and team members.
- Identify process gaps and help improve operational efficiency.
Executive Assistance
- Manage the Managing Director's task list, priorities, and business follow-ups.
- Prepare reports, presentations, and business documents.
- Draft professional emails and correspondence.
- Maintain organized digital and physical records.
Accounts & Commercial Support
- Handle day-to-day accounting entries and documentation.
- Work on Tally for accounting, vouchers, ledgers, and reconciliations.
- Coordinate with the accounts team for receivables, payables, GST-related documentation, and payment tracking.
- Monitor customer outstanding payments and supplier dues.
- Assist in preparing MIS reports and financial summaries for management.
Reporting & Documentation
- Maintain Excel-based trackers and dashboards.
- Generate daily, weekly, and monthly reports.
- Ensure proper filing of invoices, purchase orders, quotations, and commercial documents.
- Track business KPIs and report deviations to management.
Coordination & Follow-Up
- Follow up relentlessly until tasks are completed.
- Coordinate between multiple departments to ensure smooth execution.
- Act as a central communication point between management and operational teams.
Mandatory Requirements
Accounting Knowledge
Must have practical accounting knowledge and experience working with Tally.
Candidates without accounting and Tally experience will not be considered.
Technical Skills
- Tally ERP / Tally Prime
- Microsoft Excel (Intermediate to Advanced)
- Microsoft Word
- Email communication and documentation
Communication Skills
- Good written and spoken English
- Professional communication with customers and suppliers
- Ability to draft business emails independently
Preferred Experience
- 2–6 years of experience in:
- Process Coordination
- Executive Assistant roles
- Operations Coordination
- Accounts Administration
- Commercial Coordination
Experience in manufacturing, industrial products, trading companies, engineering, metals, welding consumables, or related industries will be an advantage.
