Job Summary
We are looking for a detail-oriented and organized Bid Executive to manage tender and proposal activities. The ideal candidate will be responsible for identifying tender opportunities, preparing bid documents, coordinating with internal teams and vendors, and ensuring timely submission of bids. This role requires strong communication, documentation, and organizational skills.
Key Responsibilities
Tender & Bid Management
- Search and identify relevant tender opportunities from government and private portals.
- Review tender documents, eligibility criteria, and submission requirements.
- Track tender deadlines and ensure timely bid submissions.
- Maintain records of upcoming tenders and submission schedules.
Proposal Preparation
- Prepare technical, commercial, and compliance documents for tender submissions.
- Collect required information and documents from internal departments.
- Ensure all bid documents are accurate, complete, and meet tender requirements.
- Assist in preparing company profiles, presentations, and supporting documents.
Vendor & Pricing Coordination
- Coordinate with vendors and suppliers to obtain quotations and required documents.
- Assist in preparing pricing sheets, cost estimates, and commercial proposals.
- Compare quotations and maintain pricing records.
Documentation & Coordination
- Work closely with internal teams to gather approvals and required information.
- Respond to tender-related queries and maintain communication records.
- Maintain organized records of tenders, bid submissions, contracts, and correspondence.
- Track bid results and prepare regular status reports.
Requirements
- Bachelor's degree in any discipline.
- 1–3 years of experience in Tendering, Bidding, Proposal Management, Procurement Support, or Administrative Coordination.
- Proficiency in MS Excel, MS Word, and Email Communication.
- Strong attention to detail and document management skills.
- Good communication, coordination, and organizational abilities.
- Ability to manage multiple tasks and meet deadlines.
Preferred Skills
- Experience with Government and Private Tender Portals.
- Knowledge of Bid Documentation, Tender Processes, and Compliance Requirements.
- Strong analytical and problem-solving skills.
- Ability to work independently and collaborate with cross-functional teams.
