Job Summary:
The Receptionist serves as the first point of contact for visitors and callers to the office, providing a warm welcome and ensuring smooth communication. The role involves managing the front desk, performing various administrative tasks, and supporting office operations. The ideal candidate is friendly, professional, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
- Front Desk Management:
- Greet and welcome visitors in a courteous and professional manner.
- Answer, screen, and forward incoming phone calls.
- Maintain a tidy and presentable reception area.
- Visitor Assistance:
- Assist visitors by providing directions or information.
- Ensure visitors sign in and are issued visitor badges, if applicable.
- Notify staff members of visitor arrivals.
- Communication Management:
- Handle incoming and outgoing mail and packages.
- Distribute correspondence to appropriate departments.
- Manage email correspondence and respond to inquiries promptly.
- Administrative Support:
- Schedule and confirm appointments and meetings.
- Maintain and update contact lists and office directories.
- Assist with the preparation of reports, presentations, and other documents.
- Perform basic bookkeeping tasks such as invoicing and expense tracking.
- Office Coordination:
- Order and maintain office supplies and inventory.
- Coordinate maintenance and repair of office equipment.
- Support office events and meetings, including setting up conference rooms and arranging refreshments.
- Data Management:
- Maintain electronic and paper filing systems.
- Ensure accuracy and confidentiality of sensitive information.
Qualifications:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Proven work experience as a receptionist, front office representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Hands-on experience with office equipment (e.g., fax machines and printers).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Customer service attitude and a friendly demeanor.
- Attention to detail and problem-solving skills.
