Not every project at White Label IQ has an external client attached to it — but internal initiatives still need the same rigor, ownership, and follow-through that client work gets. This role exists to lead and coordinate internal initiatives and brand-aligned projects across the company’s own three brands — Rivulet IQ, White Label IQ, and AgencyCore — working closely with the US President, Director of Operations, and teams across marketing, creative, and development.
That means owning everything that keeps our own brands sharp and moving: website updates, social media presence, marketing campaigns, and internal communications — across all three brands, not just one. You’ll also be the person driving internal AI initiatives forward, making sure the company actually adopts and benefits from the AI tools and workflows it invests in, rather than letting them sit unused.
This role sits at the intersection of execution, brand stewardship, and internal innovation — you’re not just tracking tasks, you’re making sure everything the company puts out for its own brands, and everything it tries to build internally with AI, actually happens and holds together.

- Manage internal initiatives and ensure timely execution across departments
- Coordinate with teams to assign tasks, track progress, and remove blockers
- Translate leadership inputs into structured and actionable project plans
- Prepare documentation including scopes, timelines, reports, and internal briefs
- Own and coordinate website updates, redesigns, and content changes across all three brands
- Plan and coordinate social media presence and posting calendars for each brand
- Drive marketing projects — campaigns, launches, positioning updates — across all three brands in parallel
- Ensure each brand’s website, social presence, and marketing output stays current, accurate, and on-brand
- Prioritize and sequence work across the three brands so none of them gets neglected in favor of another
- Support and guide the marketing team in planning and executing campaigns
- Ensure alignment with brand messaging, tone, and positioning for each of the three brands
- Collaborate with designers, content writers, and marketing teams for cohesive branding
- Drive accountability and performance within cross-functional teams
- Own the rollout and coordination of internal AI initiatives — new tools, workflows, and automation projects
- Work with department heads to identify where AI can meaningfully improve internal processes
- Track adoption of AI tools across teams and follow up to ensure they’re actually being used, not just introduced
- Document AI workflows, use cases, and internal guidelines so adoption doesn’t depend on one person
- Bring new AI tools and practices to leadership’s attention when they’re worth adopting company-wide
- Act as a communication bridge between internal teams and US-based leadership
- Conduct weekly meetings, share updates, and highlight risks or achievements
- Coordinate with external partners or freelancers when required
- Ensure all internal outputs align with the correct brand identity for Rivulet IQ, White Label IQ, and AgencyCore respectively
- Review internal content, presentations, and communications for consistency
- Identify process gaps and propose improvements for better efficiency
- Optimize workflows and internal systems for smoother project execution
- You take full ownership of internal projects rather than waiting for direction on every step
- You can hold three brands in your head at once without mixing up their tone, priorities, or audiences
- You can translate a leadership conversation into a structured plan without needing it spelled out

- 4+ years of experience in project management, operations, or internal coordination roles
- Strong project management and organizational skills with end-to-end ownership
- Experience working with marketing, creative, and development teams
- Strong understanding of branding and maintaining consistency across multiple brands or channels
- Comfortable coordinating website updates, social media, and marketing projects simultaneously across more than one brand
- Genuine interest in AI tools and workflows, with the ability to drive adoption across a team
- Excellent written and verbal communication skills
- Experience in stakeholder management, including senior leadership
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving mindset with a proactive approach
- Asana, Trello, Notion, Slack, or Google Workspace
- AI tools and platforms relevant to workflow automation and internal productivity
- Experience in digital agency, SaaS, or IT services environment
- Familiarity with tools like Pipedrive, Missive, or Notion
- Exposure to WordPress, Shopify, or web development workflows
- Experience managing multiple brands or product lines simultaneously
- Experience supporting sales teams or internal growth initiatives
- PMP certification or formal project management training
- Direct, ongoing collaboration with US-based leadership on internal strategy and execution
