We are seeking a highly articulate, organized, and proactive Executive Personal Assistant to directly support the Founder & CEO. This role is ideal for a seasoned professional who thrives in fast-paced business environments, excels in high-level calendar management, and serves as an effective gatekeeper for time and information.
The ideal candidate must be fully prepared for frequent travel to attend key business conferences, trade shows, networking events, and off-site meetings alongside or on behalf of the executive.
Key Responsibilities
1. Executive Support & Information Gatekeeping
- Strategic Gatekeeping: Filter, screen, and prioritize incoming communications, meeting requests, phone calls, and emails to protect the executive’s time and focus.
- Information Management: Handle sensitive business data, contracts, and internal communications with absolute confidentiality and discretion.
- Briefings & Follow-ups: Prepare comprehensive briefing materials, agendas, and background dossiers ahead of key meetings; track action items and ensure follow-through.
2. Complex Calendar & Event Scheduling
- Calendar Optimization: Proactively manage and sync complex personal and professional calendars across multiple time zones.
- Meeting Logistics: Schedule and coordinate internal leadership meetings, investor discussions, and external partner calls.
3. Travel, Conferences & Field Representation
- Event Attendance: Accompany the executive to national and international conferences, trade shows, industry forums, and networking dinners.
- On-Site Representation: Assist with networking, note-taking, capturing contact leads, and managing logistics during multi-day events.
- Travel Coordination: End-to-end management of complex travel itineraries, visas, flights, accommodation, and ground transport.
Candidate Qualifications & Skills
- Experience: Minimum 4–6+ years of experience supporting C-level executives, founders, or senior decision-makers.
- Age Requirement: 28 years or above.
- Location: Must be based in (or willing to relocate immediately to) Bengaluru, Karnataka.
- Mobility: Must hold a valid passport and have the flexibility to travel on short notice.
- Communication: Exceptional verbal and written English skills; strong interpersonal presence when interacting with external partners and high-profile stakeholders.
- Tech Proficiency: Mastery of modern calendar/productivity tools (Google Workspace, MS Office Suite, travel management tools, and project management applications).
Pay: Up to ₹60,000.00 per month
