KGISL Infra is seeking a professional, well-presented, and customer-oriented Front Office Executive to manage the reception area and provide administrative support across departments. The ideal candidate will serve as the first point of contact for visitors, clients, vendors, and employees, ensuring a welcoming and efficient front office experience while supporting day-to-day administrative operations.
Key Responsibilities
- Greet and welcome visitors, clients, vendors, and guests in a courteous and professional manner.
- Manage the front desk and ensure smooth reception operations at all times.
- Handle incoming and outgoing telephone calls, emails, and courier communications efficiently.
- Maintain visitor records, issue visitor passes, and coordinate with security for visitor management.
- Schedule and coordinate meetings, appointments, conference room bookings, and guest visits.
- Assist in travel arrangements, accommodation bookings, and transportation coordination for management and guests.
- Receive, sort, and distribute incoming documents, courier parcels, and official correspondence.
- Maintain office reception areas, meeting rooms, and common areas in an organized and presentable condition.
- Coordinate with housekeeping, maintenance, security, and facility management teams for administrative requirements.
- Support HR and Administration departments with candidate interview coordination, documentation, and general office administration.
- Prepare routine reports, maintain registers, and ensure proper filing of administrative documents.
- Handle basic inquiries from employees and visitors and escalate issues to the appropriate departments when required.
- Ensure confidentiality of company information and maintain professional etiquette in all interactions.
Required Qualifications
- Bachelor’s degree in any discipline.
- 2-5 years of experience in front office, reception, administration, or customer service roles.
- Excellent verbal and written communication skills in English and Tamil
- Proficiency in MS Office (Word, Excel, Outlook, and PowerPoint).
- Pleasant personality with strong interpersonal and customer-handling skills.
- Good organizational, multitasking, and coordination abilities.
- Professional appearance and telephone etiquette.
- Ability to work independently and handle pressure during peak visitor hours.
Pay: ₹20,000.00 - ₹30,000.00 per month
