Job Description – Service Advisor (Vehicle Maintenance)

Job Summary
The Service Advisor is responsible for coordinating the maintenance and repair activities of the company's vehicle fleet, including trucks, vans, forklifts, and utility vehicles. The role ensures timely servicing, minimizes vehicle downtime, maintains maintenance records, coordinates with workshops, and supports smooth transportation operations.
Key Responsibilities
- Coordinate preventive and breakdown maintenance for company vehicles.
- Schedule periodic servicing based on kilometers, operating hours, and manufacturer recommendations.
- Inspect vehicles and identify repair requirements before assigning work.
- Liaise with internal mechanics and external service centers for repairs.
- Prepare job cards and monitor repair progress until completion.
- Ensure vehicles are repaired within the planned turnaround time.
- Maintain complete service history and maintenance records for each vehicle.
- Monitor warranty claims and coordinate with authorized dealers when applicable.
- Track fuel efficiency, tyre life, battery performance, and spare parts consumption.
- Coordinate procurement of spare parts and ensure availability of critical inventory.
- Verify repair bills and service invoices before submission for payment.
- Conduct vehicle inspections before release to ensure roadworthiness.
- Ensure compliance with transport regulations, insurance, pollution certificates, and fitness certificates.
- Support drivers by addressing vehicle-related complaints promptly.
- Prepare daily, weekly, and monthly maintenance reports.
- Maintain housekeeping and safety standards in the workshop area.

Qualifications
- Diploma/B.Tech in Mechanical Engineering, Automobile Engineering, or equivalent.
- 3–5 years of experience in fleet or vehicle maintenance, preferably in FMCG, manufacturing, logistics, or rice milling industries.
- Knowledge of commercial vehicles, forklifts, and diesel engines is preferred.
