Job Summary
We are seeking a detail-oriented and proactive Office Administrator – Procurement & Tender Management to manage office administration, procurement activities, government tender participation, and documentation processes. The ideal candidate should have hands-on experience with the GeM (Government e-Marketplace) Portal, tender submission procedures, vendor coordination, and administrative operations.
Key ResponsibilitiesProcurement & GeM Portal Management
- Handle procurement activities through the GeM Portal.
- Create and manage product/service listings on GeM.
- Participate in bids, reverse auctions, and direct purchase opportunities.
- Monitor GeM notifications, bid opportunities, and order processing.
- Coordinate with vendors and suppliers for quotations and procurement requirements.
- Prepare comparative statements and procurement reports.
Tender Management
- Identify and track government and private tender opportunities.
- Prepare, compile, and submit tender documents within deadlines.
- Ensure compliance with tender eligibility criteria and documentation requirements.
- Coordinate with internal departments for technical and commercial inputs.
- Maintain records of submitted tenders, EMDs, BGs, and tender outcomes.
- Follow up with authorities regarding tender status and clarifications.
Documentation & Compliance
- Prepare and maintain company documents, agreements, certificates, and registrations.
- Manage ISO, MSME, GST, PAN, UDYAM, and other statutory documentation.
- Ensure proper filing and record management of procurement and tender-related documents.
- Maintain digital and physical document repositories.
Office Administration
- Manage day-to-day office administrative activities.
- Coordinate meetings, correspondence, and official communications.
- Maintain office records, inventory, and asset registers.
- Support management with reports, presentations, and administrative tasks.
- Coordinate with clients, vendors, and government departments as required.
Required Skills & Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or related field.
- Passout Year: 2021 onwards.
- Minimum 1–3 years of experience in procurement, tender management, office administration, or related roles.
- Strong knowledge of GeM Portal operations and government procurement procedures.
- Experience in tender preparation and submission.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Excellent documentation, communication, and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
Preferred Qualifications
- Experience in Government Projects, IT, Infrastructure, Facility Management, or Consulting sectors.
- Knowledge of e-Tendering portals such as CPPP, State e-Procurement Portals, and GeM.
- Familiarity with contract management and vendor management processes.
