Having successfully established our market presence with a strong pipeline and dozens of highly successful manual RFP submissions, we are scaling our sales operations. To support this growth, we have adopted Responsive (formerly RFPIO), the industry-leading RFP automation platform, and are looking for a smart, agile professional to own our proposal-drafting engine.
Role Overview
We are seeking a dynamic, detail-oriented RFP & Proposal Specialist with 5 to 6 years of experience in B2B tech presales or proposal management.
In this role, your primary objective is speed and structural quality. You will leverage the Responsive platform to ingest client RFPs, run auto-respond matchings against our historical database, and turn around accurate, highly polished Draft V1 proposals quickly.
You do not need to be a deep domain expert in project management software on day one. Instead, you need to be exceptionally smart, tech-savvy, and structured in your thinking (MBA background is preferred) so you can synthesize our product features and technical archives into winning first drafts.
Key Responsibilities
- Own the RFP Tool (Responsive): Act as the administrator and champion of our Responsive platform. Learn its capabilities inside out to automate as much of the preparation process as possible.
- Rapid V1 Generation: Parse incoming RFP, RFI, and Security Questionnaire documents. Execute first-pass drafting using Responsive's AI and our library of 30+ high-quality past submissions.
- Library & Content Hygiene: Maintain, tag, and organize our central Q&A Answer Library within Responsive. Ensure our best technical and business answers are always updated and easy for the AI to retrieve.
- Stakeholder Collaboration: Coordinate with Product, Engineering, Security, and Leadership teams to fill in the gaps for "Version 2" onwards, ensuring highly technical questions are routed to the right domain experts.
- Project Management: Track multiple proposal timelines, coordinate deadlines, and ensure our final submissions are formatted beautifully and delivered on time.
Requirements & Qualifications
- Experience: 5 to 6 years of hands-on experience in proposal writing, bid management, or presales enablement, specifically for a technical software/B2B SaaS product.
- Education: MBA is highly preferred. A business background equips you to quickly understand commercial contexts, buyer psychology, and corporate requirements.
- Tool Tech-Savviness: Prior experience with RFP automation software like Responsive (RFPIO), Loopio, or Qvidian is a massive plus. At a minimum, you must have an outstanding ability to master new productivity and AI software rapidly.
- Sharp Synthesis Skills: Strong written and verbal communication skills. You must be able to read complex technical requirements and easily map them to our existing software features.
- Startup Mindset: High ownership, self-motivated, and comfortable working in a fast-paced environment where speed of execution is valued.
