Job Summary
We are seeking a dynamic and highly organized Dispatch Executive to coordinate and manage transportation operations efficiently. In this role, you will oversee vehicle dispatching, route planning, and communication with drivers, clients, and internal teams to ensure timely delivery and optimal fleet utilization. Responsibilities
- Coordinate daily dispatch activities for freight movement, ensuring adherence to schedules and delivery deadlines.
- Utilize vehicle dispatch software and transportation management systems such as Oracle Transportation Management and AS400 to plan routes, assign loads, and monitor fleet performance.
- Communicate effectively with drivers via multi-line phone systems and mobile GPS devices to provide instructions, updates, and support.
- Manage incoming phone calls related to shipment inquiries, customer requests, or operational issues with professionalism and clarity.
- Maintain accurate data entry of shipment details, driver logs, and delivery records using Microsoft Office applications and logistics software like SyteLine.
- Ensure compliance with DOT (Department of Transportation) regulations and internal policies during dispatching activities.
- Collaborate with supply chain teams, warehouse staff, and third-party logistics providers (3PL) to coordinate shipping & receiving operations seamlessly.
- Analyze transportation data to identify opportunities for efficiency improvements in road transportation operations and fleet management.
Skills
- Strong knowledge of GIS (Geographic Information Systems), GPS technology, and transportation planning principles.
- Proficiency in transportation management systems such as Oracle Transportation Management, AS400, and Vehicle Dispatch Software.
- Excellent organizational skills with the ability to multitask across multiple lines of communication simultaneously.
- Effective communication skills for phone call management, internal coordination, and customer service interactions.
- Familiarity with freight logistics, shipping & receiving procedures, fleet management practices, and DOT regulations.
- Advanced data entry capabilities with attention to detail using Microsoft Office Suite (Word, Excel) and specialized logistics software like SyteLine.
- Analysis skills to interpret transportation data for process optimization; strong dispatching skills essential for timely operations.
- Ability to handle phone etiquette professionally while managing high-volume multi-line phone systems efficiently.
- Knowledge of vehicle dispatching processes within road transportation operations; experience with freight management preferred.
