Job Description – Admin Manager
Position: Admin Manager Male or Female
Education: Graduate or Diploma Ex-serviceman will be preferred
Location: Site 106 / Project Site & Sales Gallery
Department: Administration
Reporting To: HR Head / Admin Manager HO/Management
Salary Range: ₹45,000–₹50,000 per month
Experience: 5–10 years in Real Estate, Construction, Facility Management, or Project/Site Administration
Key Responsibilities
A. Construction Site Administration
- Manage day-to-day administrative activities of the construction/project site.
- Ensure proper functioning of site offices, cabins, meeting rooms and common areas.
- Coordinate seating arrangements and office infrastructure for employees and project staff.
- Maintain site administrative records, registers, documents and correspondence.
- Coordinate movement and requirements of employees, consultants, contractors and visitors.
- Ensure availability of stationery, office supplies, drinking water and other essential requirements.
- Coordinate repair and maintenance of office infrastructure, electrical systems, plumbing, air-conditioning and other facilities.
- Monitor cleanliness and general upkeep of the site office and surrounding areas.
- Coordinate with the Project Team for administrative requirements and operational support.
B. Sales Gallery / Experience Centre Administration
- Ensure the sales gallery is maintained in a clean, presentable and customer-ready condition at all times.
- Coordinate housekeeping, security, reception and facility services at the sales gallery.
- Ensure proper functioning of lighting, air-conditioning, audio-visual systems, displays and other customer-facing facilities.
- Coordinate arrangements for customer meetings, events, broker meetings and management visits.
- Ensure availability of refreshments, drinking water, stationery and other customer-service requirements.
- Maintain visitor/customer registers and coordinate visitor movement as required.
- Coordinate with the Sales Team for day-to-day administrative and facility requirements.
- Ensure the sales gallery reflects the company's professional image and brand standards.
C. Vendor & Contractor Management
- Identify and coordinate with housekeeping, security, pantry, maintenance, pest control, landscaping and other service vendors.
- Obtain quotations and coordinate vendor requirements in consultation with the concerned department/management.
- Monitor vendor performance, attendance, service quality and compliance with agreed requirements.
- Verify vendor bills and service reports before submitting them for approval.
- Maintain records of vendor contracts, quotations, work orders and service agreements.
- Ensure timely renewal of AMC/service contracts.
D. Manpower Management
- Supervise administrative support staff, housekeeping, security, drivers, pantry staff and other outsourced manpower.
- Monitor attendance, deployment, shift schedules and performance of outsourced manpower.
- Coordinate with HR regarding manpower requirements, replacements and disciplinary matters.
- Ensure adequate manpower is available for the site and sales gallery as per operational requirements.
- Maintain manpower deployment and attendance records.
E. Security & Access Management
- Manage and monitor security arrangements at the construction site and sales gallery.
- Ensure proper entry/exit procedures for employees, visitors, contractors and vendors.
- Maintain visitor, vehicle and material movement records.
- Coordinate with security agencies regarding deployment, shifts and incidents.
- Ensure appropriate access control and security protocols are followed.
- Immediately report any security incident, loss, damage or unauthorized access to management.
F. Housekeeping & Facility Management
- Ensure high standards of cleanliness and hygiene across site offices, sales gallery, meeting areas and common facilities.
- Conduct regular inspections of housekeeping and facility conditions.
- Monitor washrooms, pantry, reception, meeting rooms and customer areas.
- Coordinate waste disposal and housekeeping activities.
- Ensure pest control, sanitisation, and periodic deep-cleaning activities are carried out as required.
G. Office & Administrative Assets
- Maintain records of furniture, fixtures, office equipment and other administrative assets.
- Ensure proper allocation and handover of office assets to employees.
- Maintain asset registers and conduct periodic physical verification.
- Coordinate repair, replacement and disposal of damaged/unserviceable administrative assets.
- Ensure proper custody of keys, access cards, registers and other administrative items.
H. Employee & Site Support
- Coordinate with HR for joining arrangements, seating, ID cards, access requirements and other administrative facilities for new employees.
- Support employee welfare and day-to-day administrative requirements at the project site.
- Coordinate with IT for basic infrastructure requirements such as internet, printers, CCTV, access systems and other office facilities.
- Ensure timely resolution of employee/site administrative issues.
I. Events, Meetings & Management Visits
- Make administrative arrangements for management visits, client meetings, broker meetings, site visits and events.
- Coordinate meeting rooms, seating, refreshments, housekeeping, security and other logistical requirements.
- Ensure the site and sales gallery are properly prepared before VIP/customer visits.
- Coordinate with relevant departments for events and project launches as required.
J. Compliance & Safety Coordination
- Ensure administrative activities comply with company policies and applicable site requirements.
- Coordinate with the Safety/EHS team regarding administrative support for safety-related requirements.
- Ensure emergency contact lists, fire/emergency arrangements and evacuation information are displayed where required.
- Report unsafe administrative/facility conditions immediately to the concerned authority.
- Maintain required administrative and compliance records.
K. Cost Control & Budget Management
- Monitor administrative expenses within the approved budget.
- Control unnecessary expenditure and identify opportunities for cost optimization.
- Review vendor quotations and negotiate rates where appropriate.
- Track monthly administrative expenses for the site and sales gallery.
- Coordinate with Finance for vendor bills, payment documentation and expense reconciliation.
3. Key Skills & Competencies
The candidate should have:
- Strong knowledge of real estate/construction site administration.
- Experience in managing sales galleries/experience centres will be preferred.
- Good vendor negotiation and coordination skills.
- Strong manpower supervision capabilities.
- Excellent communication and interpersonal skills.
- Good knowledge of facility management.
- Ability to handle multiple responsibilities independently.
- Strong problem-solving and coordination skills.
- Good MS Office/Excel knowledge and administrative reporting skills.
- Ability to work under pressure and handle urgent site requirements.
- Professional personality suitable for interaction with senior management, customers, consultants and vendors.
