Job Summary
The Receptionist will manage front-desk operations, digital patient registration, appointments, communication, and administrative coordination for both outpatient and inpatient activities in a 30-bedded ENT specialty hospital. Night-shift duties involve routine administrative support and attending calls.
Key Responsibilities
Front Desk & Patient Interaction
- Welcome and assist patients and attenders courteously.
- Perform patient registration using hospital software.
- Guide patients to consultation rooms, audiology, diagnostic areas, OT waiting, or wards.
Outpatient (OP) Coordination
- Manage appointments and schedules digitally.
- Update patient status (waiting/in consultation/completed) in software.
- Coordinate patient movement with ENT consultants, audiologists, and nursing staff.
Inpatient (IP) Coordination
- Manage planned admissions and discharges in the software.
- Maintain digital admission files, consent forms, and required documents.
- Coordinate with nursing, OT, pharmacy, and accounts for related processes.
Phone & Communication
- Handle calls related to appointments, surgery dates, doctor availability, and general enquiries.
- Redirect calls to the relevant departments when required.
- Maintain communication notes if needed in the system.
Night Shift Responsibilities
- Manage front-desk operations during night hours.
- Attend incoming calls and provide required information.
- Handle scheduled admissions or documentation updates if they occur.
- Ensure proper digital handover to the next shift.
- Maintain visitor entry logs as per hospital guidelines.
Administrative Support
- Maintain a neat and organized front-desk area.
- Ensure data accuracy in all software entries.
- Provide OP/IP counts, reports, and documentation support to management when required.
Qualifications & Skills
- Any degree (preferably healthcare or administrative).
- 1–3 years of hospital front office experience (ENT or speciality hospital preferred).
- Strong communication in Tamil and English.
- Good computer skills and the ability to work with hospital management software.
- Ability to independently manage night shift duties.
Work Schedule
- Rotational shifts including night shift.
- 6-day work week or as per hospital policy.
