Position Summary:
We are seeking a highly motivated and enthusiastic individual to join our team as a Personal Secretary to the CEO of Evolve Digital. The ideal candidate will be a fluent English speaker with strong communication and organisational skills. This entry-level position requires adaptability, a positive attitude, and a willingness to learn in a dynamic work environment. As the Personal Secretary, you will play a crucial role in supporting the CEO and ensuring smooth day-to-day operations.
Responsibilities:
- Administrative Support: Provide efficient administrative support to the CEO, including managing calendars, scheduling meetings, and handling correspondence.
- Communication: Act as the primary point of contact between the CEO and internal/external stakeholders, ensuring effective communication and timely responses.
- Documentation: Prepare and maintain official documents, reports, presentations, and spreadsheets using MS Office Suite and Google Workspace.
- Travel Arrangements: Coordinate travel arrangements, including flight bookings, hotel reservations, and itinerary planning for the CEO's business trips.
- Meeting Coordination: Organise and schedule internal and external meetings, prepare agendas, take minutes, and ensure action items are followed up.
- Data Management: Maintain and update databases, files, and records, ensuring accuracy and confidentiality.
- Event Planning: Assist in organising company events, conferences, and workshops as directed by the CEO.
- Prioritisation: Prioritise tasks and manage deadlines to ensure efficient completion of assignments.
- Problem-Solving: Proactively identify and resolve administrative and logistical challenges to support smooth business operations.
- General Office Support: Provide general office support, including ordering supplies, coordinating office maintenance, and handling incoming calls.
- Ad-hoc Tasks: Undertake any other tasks or projects assigned by the CEO to contribute to the overall success of the agency.
Requirements:
- Education: Bachelor's degree or Equivalent in any field.
- Experience: 0-1 year of work experience in any industry or field.
- Language: Fluent speaker level proficiency in English with excellent verbal and written communication skills.
- Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets, Calendar).
- Adaptability: Ability to thrive in a fast-paced and ever-changing work environment with a positive and adaptable attitude.
- Organisation: Strong organisational and multitasking skills to manage multiple priorities effectively.
- Learning Attitude: Eager to learn, grow, and develop new skills every day.
