Job Description: Quality Control Analyst – Operations

Role Purpose
To independently assess and assure the quality of all operational activities carried out by the Operations team Finance, by conducting structured post-facto audits against established SOPs and process checklists. The QC Analyst serves as an objective, independent control layer identifying deviations, escalating gaps, and supporting continuous improvement of operational processes.
Key Responsibilities
1. Post-Facto Audit & Review
Conduct systematic post-facto audits of completed operational activities, verifying adherence to applicable SOPs and process checklists at each step.
Review transaction records, activity logs, and supporting documentation to identify deviations, skipped steps, or non-adherence to defined process standards.
Prioritise audit coverage across all Ops sub-processes — including client onboarding, KYC/KYB/AML checks, disbursement, collections, legal docs execution.
Apply sampling or end-to-end review methodology as appropriate to the volume and criticality of the activity being audited.
2. Documentation & Reporting
Maintain a structured audit log and QC tracker capturing findings, exception details, frequency of deviation, and function/employee-level patterns.
Prepare concise QC observation reports after each review cycle, summarising findings, error rates, and root causes.
Present audit outcomes and trend analyses in quarterly QC review meetings with senior leadership.
Escalate critical or recurring deviations promptly to the appropriate stakeholders with clear documentation.
3. Corrective Action & Follow-Up
Coordinate with the Operations team to ensure audit findings are acknowledged and corrective actions are implemented within agreed timelines.
Track closure of open audit observations and verify that corrective measures have been effectively applied before marking findings as resolved.
4. Process Improvement Support
Identify patterns of recurring gaps and provide actionable inputs to improve or update existing SOPs and checklists.
Flag operational areas where processes exist in practice, but formal SOPs have not yet been documented, enabling the organisation to close process gaps proactively.
Support the scale-up of QC cadence as transaction volumes and team size grow.
Key Deliverables
Audit log and QC tracker maintained for every review cycle, covering all audited Ops activities.
QC observation reports with findings, error rates, and corrective action recommendations, delivered within agreed timelines after each cycle.
Closure reports confirming resolution of open audit findings within agreed timelines.
Quarterly trend summary presented to leadership covering deviation patterns and process health across Operations.

Technical Skills
Proficiency in MS Excel for maintaining audit trackers, sampling data, computing error rates, and preparing reports.
Familiarity with LOS / LMS or operations management platforms — ability to navigate systems to retrieve and verify activity records.
Working knowledge of KYC/KYB documentation standards and NBFC lending operations processes.
Exposure to internal audit tools, process checklists, or quality assurance frameworks.
Qualification & Experience
Education:
Any Graduate. A degree in Finance, Commerce, or Business Administration .
Experience:
3–4 years of experience in internal audit, risk & controls, quality assurance, operations compliance, or process review in a Bank, NBFC, BFSI organisation.
Nice to Have:
Familiarity with RBI Master Directions applicable to NBFCs or the Factoring Regulation Act.
Prior exposure to invoice discounting, trade finance, or supply chain finance operations.
Certification in internal audit (CIA) or risk management — a plus, not mandatory.
