Roles and Responsibilities for HR Position1. Daily and Monthly Operations Management
Responsibilities:
- Respond to candidate emails daily, setting up interviews or declining applications.
- Maintain and update the application sheet daily, regardless of hiring status.
- Update the Attendance Sheet daily, inform employees of any issues like late entries or sandwich leaves, and address pay cuts.
- Manage and update the Salary Sheet and Reimbursements monthly, including reminders for appraisals.
- Maintain and monitor the Holiday Calendar monthly, with advance approvals.
2. Employee Management
Responsibilities:
- Conduct monthly performance reviews and 1-on-1 discussions with employees to address concerns and future planning.
- Create and maintain individual employee folders with documentation such as background checks, signed appointment letters, and appraisal letters.
- Ensure all employees sign Non-Disclosure and Non-Solicitation Agreements, storing them securely.
- Oversee the induction process, including sending induction emails, managing appointment term signings, and introducing new employees to the team.
- Implement and manage the Paternity Leave Policy as needed.
- Provide guidelines to employees regarding client calls, including do's and don'ts.
- Manage Email IDs, Drive, and Data using the Admin Console to ensure all data is secure, up to date, and properly allocated.
3. Recruitment and Hiring Process
Responsibilities:
- Post job vacancies on multiple portals like LinkedIn, Indeed, etc., ensuring accurate job descriptions from the team head.
- Conduct various interview rounds including technical tests and coordinate final interviews with senior management.
- Perform thorough background checks on prospective hires, maintaining all relevant documentation.
- Draft and send offer letters after successful interviews, following up with necessary employee setup forms.
- Encourage and manage the Employee Referral Policy, facilitating internal referrals.
4. Exit Process and Documentation
Responsibilities:
- Manage the resignation or termination process, conduct exit interviews, and ensure all necessary documentation is completed.
- Coordinate Handover and Knowledge Transfer (KT) tasks, releasing final salary documents only after completion.
- Prepare and distribute salary slips for the last three months after handover completion.
- Draft and issue Relieving and Experience Letters, ensuring all details are accurately captured.
5. Employee Engagement and Communication
Responsibilities:
- Plan and execute team-building activities, considering team inputs and scheduling at regular intervals.
- Recognize and celebrate employee anniversaries, birthdays, and milestones with appropriate celebrations or gifts.
- Manage seasonal client gifting and team RnRs along with awards and rewards, maintaining and monitoring the process and distribution.
6. Compliance and Documentation Management
Responsibilities:
- Oversee the Internal Committees, handling documentation and any complaints.
- Manage employee insurance details, updating them as needed.
- Follow formal grievance redressal procedures, addressing complaints systematically and without bias.
- Ensure proper documentation and adherence to Non-Disclosure Agreements for freelancers and external consultants.
7. Additional Administrative Tasks
Responsibilities:
- Share guidelines on Zoom client calls with new joiners and ensure adherence.
- Track and update records of courses completed by team members on platforms like Udemy.
- Maintain and update details of hiring agencies and vendors, ensuring an organized and current database.
8. Executive Assistant Tasks for CEO
Responsibilities:
- Set up meetings, send calendar invites, and manage meeting links for the CEO.
- Share updates and reminders with the CEO regarding key tasks and deadlines.
- Follow up on tasks such as insurance renewals and important subscription updates.
- Provide general administrative support to the CEO, ensuring all executive tasks are handled efficiently.
Job Type: Full-time
Pay: ₹25,000.00 - ₹30,000.00 per month
