About the Role
We are looking for a highly experienced, dynamic and professionally presented Personal & Company Secretary / Executive Management Professional to work closely with the Managing Director / Chairman / CEO and take responsibility for strategic coordination, corporate communication, financial administration, budgeting, business development and execution of key management decisions.
The ideal candidate should have 2+ years of experience with reputed/Fortune-level companies or professionally managed organisations, excellent communication skills, strong business understanding, high confidentiality and the ability to independently coordinate with senior management, clients, consultants, government authorities and corporate stakeholders.
The position is intended for an individual capable of functioning as a trusted management executive and central coordination point for the organisation, rather than performing routine secretarial duties alone.
Key Roles & Responsibilities
1. Executive & Personal Office Management
- Act as the principal coordination point between the Managing Director/Founder and internal/external stakeholders.
- Manage calendars, meetings, appointments, travel schedules and important engagements.
- Prepare meeting agendas, minutes, action points and follow-up reports.
- Maintain confidential corporate and personal records, documents and communications.
- Handle sensitive and confidential information with the highest degree of discretion.
- Coordinate the Managing Director's official and business-related travel, meetings and events.
2. Corporate Communication
- Draft and manage professional letters, emails, notices, proposals, presentations and corporate communications.
- Coordinate communication with clients, government departments, financial institutions, consultants, legal professionals and business partners.
- Maintain professional corporate correspondence and ensure timely responses.
- Represent management in routine coordination matters wherever authorised.
3. Budgeting & Financial Management
- Assist management in preparing annual and project-wise budgets.
- Monitor actual expenditure against approved budgets.
- Maintain management-level financial dashboards and MIS.
- Coordinate with Accounts/Finance teams regarding receivables, payables, cash flow and financial commitments.
- Support management in cost optimisation and financial planning.
- Assist in preparation and review of Profit & Loss statements, cash-flow projections and management reports.
- Track business profitability and highlight financial deviations requiring management attention.
4. Profitability & Business Performance
- Monitor business performance against achievements.
- Prepare periodic P&L and profitability analysis for organisational review.
- Identify areas of unnecessary expenditure and operational inefficiency.
- Assist in developing strategies for improving revenue, margins and overall business performance.
- Coordinate with different departments to ensure execution of management-approved financial and operational plans.
5. Organisation Building & Business Development
- Work closely with the Managing Director / Chairman / CEO in building and expanding the organisation from its present stage to a professionally structured enterprise.
- Assist in developing organisational systems, SOPs, reporting structures and internal controls.
- Coordinate the establishment of new business verticals, offices, projects and operational units.
- Conduct preliminary business research and prepare opportunity reports.
- Support strategic partnerships, client acquisition and corporate relationship development.
- Follow up on important business opportunities from initiation through execution.
6. Strategic Management Support
- Convert management decisions into actionable tasks and ensure timely execution.
- Maintain a Management Action Tracker and regularly report pending/critical matters.
- Coordinate among HR, Finance, Legal, Operations, Business Development and Administration.
- Prepare management presentations, dashboards and decision-support reports.
- Assist in strategic planning, expansion planning and organisational restructuring.
7. Corporate / Legal / Compliance Coordination
- Coordinate with Company Secretary, Chartered Accountant, Advocate, auditors and other professional advisors.
- Maintain records relating to statutory, contractual and corporate compliance.
- Track important licences, registrations, agreements, renewals and regulatory deadlines.
- Assist management in preparing documentation for tenders, contracts, registrations, banking and corporate transactions.
8. Business Travel & Mobility Management
- Coordinate domestic and international business travel, accommodation and itineraries.
- Maintain travel schedules and ensure smooth execution of executive movements.
- Candidate should preferably possess a valid driving licence and be comfortable with self-driving, including long-distance and city driving.
- Ability to coordinate and manage premium executive vehicles and travel arrangements.
Technology & Professional Competence
The candidate should be highly comfortable with modern executive technology and productivity systems, including:
- MacBook / Apple ecosystem and premium business gadgets
- Microsoft Office / Microsoft 365
- Excel and financial MIS
- PowerPoint and executive presentations
- Google Workspace
- Digital document management
- Video conferencing and business communication platforms
- AI-enabled productivity and research tools
- CRM / ERP / accounting coordination systems
Ownership/use of a MacBook or similar premium business laptop and familiarity with high-end technology will be preferred, although personal ownership of a particular brand shall not be mandatory.
Desired Candidate Profile
- Minimum 2 years of relevant professional experience.
- Preference for candidates who have worked with Fortune 500 companies, multinational corporations, large corporate houses, reputed consulting firms or professionally managed organisations.
- Excellent English communication, drafting and presentation skills.
- Strong command over budgeting, P&L, MIS and business administration.
- Commercially aware and capable of understanding business profitability.
- Excellent organisational and time-management skills.
- Mature, well-presented and highly professional personality.
- Strong interpersonal and negotiation skills.
- Ability to work under pressure and handle multiple priorities.
- High level of confidentiality, integrity and professional discretion.
- Willingness to travel as required.
- Valid Motor Driving Licence is preferred/required depending on the role.
- Ability to independently manage assignments without continuous supervision.
Preferred Executive Profile
Preference may be given to candidates who demonstrate:
- Experience working directly with CXOs, Promoters, CEOs, MDs or Business Heads.
- Exposure to corporate finance, budgeting and P&L management.
- Experience in business expansion or setting up new organisational units.
- Strong corporate networking and stakeholder-management abilities.
- Experience in handling confidential executive assignments.

Compensation & Benefits
₹50,000 – ₹2,00,000 per month, depending upon experience, qualifications, professional background and demonstrated capability.
For an exceptional candidate with proven experience in a Fortune-level organisation and the ability to independently manage executive, financial and strategic responsibilities, compensation may be positioned toward the upper end of the range, subject to management approval.

Important Note
This is not a conventional clerical Company Secretary position. The role is designed as a high-trust Executive Management / Personal & Corporate Office position, requiring the candidate to work closely with the Founder/MD and contribute directly to financial discipline, profitability, corporate communication, business expansion and organisational development.
The successful candidate is expected to become a key member of the management team and help establish the systems, processes and professional structure required for the organisation's next stage of growth.
Pay: ₹50,000.00 - ₹200,000.00 per month
