Job Title: Fleet Coordinator
Base Office (Panchkula) with site visits if necessary.

About the Role
The Fleet coordinator will be responsible for managing and optimizing a fleet of approximately 50-100 vehicles deployed across multiple Solid Waste Management projects. The role involves ensuring maximum fleet availability, efficient fuel utilization, compliance with statutory requirements, GPS monitoring, route optimization, and preventive maintenance management.
The Fleet coordinator will serve as the central authority for all fleet-related operations and controls.
Key ResponsibilitiesFleet Operations Management
- Manage and monitor fleet operations across all project locations.
- Ensure maximum vehicle availability and utilization.
- Track daily deployment and performance of vehicles.
- Coordinate with site teams regarding fleet requirements.
Fuel Management & Control
- Monitor daily fuel consumption of all vehicles.
- Verify fuel issue records and fuel registers.
- Analyze fuel efficiency and mileage trends.
- Identify fuel pilferage, misuse, or abnormal consumption patterns.
- Develop systems to improve fuel efficiency and reduce losses.
GPS & Telematics Monitoring
- Ensure all GPS devices are operational.
- Monitor vehicle movement through tracking systems.
- Verify route compliance and operational efficiency.
- Track vehicle idle times and unauthorized movements.
- Ensure all sensors and telematics systems are functioning properly.
Vehicle Maintenance Management
- Develop preventive maintenance schedules.
- Monitor breakdowns and downtime.
- Coordinate repairs and servicing activities.
- Maintain maintenance records and service histories.
- Improve fleet uptime and reliability.
Documentation & Compliance
- Maintain records of:
- Registration Certificates (RC)
- Insurance
- Pollution Certificates (PUC)
- Fitness Certificates
- Permits
- Road Tax
- Other statutory documents
- Ensure timely renewal of all vehicle-related documentation.
- Maintain compliance trackers and alerts.
Route Planning & Optimization
- Design and optimize collection and transportation routes.
- Improve vehicle productivity and reduce operational costs.
- Coordinate with project teams for deployment planning.
- Analyze route efficiency using GPS data.
Vendor & Workshop Coordination
- Coordinate with fuel vendors, workshops, and spare suppliers.
- Monitor repair quality and service costs.
- Negotiate and manage vendor relationships.
Reporting & Analytics
- Prepare fleet performance reports.
- Monitor key operational metrics.
- Present cost-saving opportunities and improvement plans.
- Develop dashboards for management review.
Required Skills
- Strong knowledge of fleet management systems.
- Experience with GPS tracking and telematics.
- Strong analytical and reporting abilities.
- Understanding of vehicle maintenance and fuel management.
- Advanced Excel and data analysis skills.
- Strong leadership and coordination capabilities.
Preferred Experience
- 1-7 years in Fleet Management, Logistics, Transportation Operations, Municipal Projects, Waste Management, or Large Vehicle Operations.
