Job Summary
We are looking for a Purchase Executive – Plant & Machinery to manage procurement activities related to construction equipment, heavy machinery, spare parts, consumables, and project-related plant requirements. The candidate will be responsible for vendor development, sourcing, negotiation, purchase order management, delivery coordination, and ensuring timely availability of materials/equipment at project sites.
Key Responsibilities
- Handle procurement of plant & machinery, construction equipment, spare parts, tools, consumables, and related items for infrastructure projects.
- Source and identify reliable OEMs, dealers, suppliers, contractors, and service providers.
- Float enquiries/RFQs, obtain quotations, prepare comparative statements, and negotiate price, quality, payment terms, warranty, and delivery schedules.
- Prepare and release Purchase Orders (POs) as per approved requirements.
- Coordinate with Project, Plant & Machinery, Stores, Finance, and Site teams to understand material/equipment requirements.
- Ensure timely delivery of machinery, spare parts, consumables, and other procurement items at project sites.
- Follow up with vendors for order status, dispatch, installation, commissioning, and documentation.
- Maintain proper records of purchase orders, quotations, comparative statements, invoices, delivery challans, warranties, and vendor documents.
- Develop and maintain a database of approved and potential vendors.
- Evaluate vendors based on price, quality, delivery performance, service support, and commercial terms.
- Negotiate with suppliers to achieve cost savings and competitive procurement.
- Coordinate with vendors for breakdowns, repairs, AMC, servicing, and warranty claims wherever applicable.
- Assist in procurement planning based on project schedules and machinery requirements.
- Monitor outstanding purchase orders and ensure closure of pending deliveries.
- Support procurement of tyres, batteries, lubricants, filters, hydraulic components, electrical parts, mechanical spares, and other machinery-related items.
- Ensure procurement is carried out in accordance with company policies and approval procedures.
- Resolve vendor-related issues concerning quality, quantity, delivery, billing, and payment coordination.
- Prepare periodic MIS reports related to procurement, pending orders, vendor performance, and cost savings.
Required Skills & Qualifications
- Graduate/Diploma in Mechanical Engineering, Civil Engineering, Supply Chain, Procurement, or a related field.
- 2–5 years of experience in purchase/procurement, preferably in infrastructure, construction, EPC, roads, highways, real estate, or heavy engineering.
- Experience in procurement of plant & machinery and mechanical/electrical spare parts will be preferred.
- Good knowledge of vendor development, quotation comparison, negotiation, and PO processes.
- Good understanding of construction equipment such as excavators, cranes, loaders, batching plants, crushers, generators, compressors, pumps, DG sets, etc.
- Proficiency in MS Excel and ERP/SAP/Tally or other procurement software.
- Good communication, negotiation, follow-up, and coordination skills.
- Ability to work under pressure and manage multiple project/site requirements.
