About the Role
A Tracking Agent plays a vital role in ensuring smooth and efficient service delivery across Sun Transportation Systems’ cross-border operations. The position involves monitoring shipments, updating portals, and maintaining accurate records to ensure seamless logistics operations. Skilled in real-time tracking, customer communication, dispatch coordination, and system updates, while fostering collaboration across internal teams. Adept at managing calls, messages, and portal updates to provide full shipment visibility, enhance customer satisfaction, and support operational efficiency.

Roles & Responsibilities
· Track and Trace: Continuously monitoring the real-time location and movement of all trucks to maintain full visibility of shipments.
· Update Customer: Provide customers with timely and accurate updates regarding pickup and delivery schedules to keep them informed at every stage. Notify them in advance if a driver is running early or late, ensuring transparency and managing expectations effectively.
· Dispatch: When a driver completes a delivery, verify the Proof of Delivery (POD) along with the empty trailer picture to ensure accuracy and compliance. Once confirmed, coordinate with planners to assign the next load based on availability and operational priorities. Finally, dispatch the driver with clear instructions, maintaining efficiency and minimizing downtime to keep the workflow seamless.
· Once dispatch is done, update the fleet system and inform the customer about the new assignment.
· Update Sheets: Keep tracking sheets and records updated promptly with accurate shipment and dispatch information.
· Review and Update Portals: Monitor and review every load on Four Kites and P44, ensuring accurate visibility and timely updates. Update portals with precise shipment details so that tracking can be effectively managed through these platforms, supporting smooth operations.
· Calls: Respond to incoming calls from drivers and customers, addressing their questions, concerns, or requests promptly and professionally. Ensure clear communication, provide accurate information, and resolve issues efficiently to maintain customer satisfaction and driver support.
· Messages: Reply to driver communications received through the SAMSARA. Manage and respond to messages in a timely manner, offering guidance, updates, or solutions as needed. Maintain professionalism and clarity in all written interactions to support smooth operations.
· Internal Team Collaboration: Coordinate with internal departments such as operations, dispatch, and customer service to ensure smooth communication. Work together to quickly resolve issues and streamline workflows for efficiency. Support overall operational performance by fostering teamwork and proactive problem-solving.
Skills & Qualifications Required
· Minimum qualification: Graduate or equivalent
· Clear verbal and written communication with strong interpersonal skills.
· Proven ability to multitask and perform effectively under pressure.
· Excellent attention to detail and observational ability
· Basic computer proficiency
· Ability to effectively prioritize tasks and manage time in a fast-paced environment.
· Basic understanding of transportation, and logistics processes.
