Financial Assistant (Specialized in QuickBooks Online)

Job Overview:
We are looking for a detail-oriented and Financial Assistant to manage bookkeeping and accounting tasks for our hotel operations in Canada. The ideal candidate should have hands-on experience with QuickBooks Online and a good understanding of accounting processes such as Accounts Payable, Accounts Receivable, bank reconciliations, and financial reporting.
#Candidates with hotel or hospitality accounting experience will be preferred.
Key Responsibilities
1. Bookkeeping & Accounting
- Maintain accurate financial records in QuickBooks Online.
- Record daily transactions, journal entries, and adjustments.
- Reconcile bank accounts, credit cards, and other accounts regularly.
- Assist with month-end closing activities.
- Maintain the general ledger and chart of accounts.
2. Accounts Payable (Vendor Payments)
- Enter and process vendor invoices.
- Verify invoices and ensure correct expense coding.
- Schedule and process supplier payments.
- Maintain vendor records and resolve payment discrepancies.
3. Accounts Receivable (Customer Payments)
- Record daily deposits and credit card settlements.
- Reconcile hotel system reports with QuickBooks Online.
- Monitor outstanding payments and follow up when required.
- Assist with customer billing and account reconciliations.
4. Payroll & Compliance Support
- Assist with payroll processing and payroll reconciliations.
- Support Canadian payroll-related filings and remittances.
- Maintain proper records for audits and compliance requirements.
5. Reporting & Coordination
- Prepare weekly and monthly financial reports.
- Assist with budgeting and forecasting activities.
- Coordinate with hotel managers, accountants, and auditors.
- Maintain organized financial records and internal controls.
Required Qualifications
- Minimum 1+ year of bookkeeping experience using QuickBooks Online.
- Working knowledge of QuickBooks Online (QBO).
- Understanding of basic accounting and bookkeeping principles.
- Experience with bank and credit card reconciliations.
- Good attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Good English communication and follow-up skills.
- Ability to work independently and maintain confidentiality.
Preferred Qualifications
- Experience in hotel or hospitality accounting.
- Knowledge of Canadian accounting practices.
- Experience with GST/HST filings.
- Familiarity with hotel PMS and POS systems.
- Experience handling multiple companies or business entities.
- QuickBooks Online Certification (preferred but not mandatory).
