HR & Compliance Executive About the Role Abhidi is looking for an HR & Compliance Executive to support and expand the HR Operations function. This role has been created to partner with the existing Malaysia HR resource, sharing ownership of a high-volume, multi-country HR operations and compliance workload spanning immigration, documentation, employee lifecycle, statutory compliance, and vendor management. The successful candidate will be capable of owning end-to-end processes independently, comfortable operating in a fast-paced, deadline-driven environment with multiple simultaneous priorities, and confident liaising with government authorities, clients, and internal stakeholders.
Key Responsibilities
- Support and coordinate immigration and visa processes — including EP, DP, PVP, Special Pass, and Permission to Work applications — across multiple candidates simultaneously.
- This includes submissions via MDEC eXpats, MYXpats, ESD, and related government portals, along with continuous tracking, follow-ups, and coordination with authorities.
- Learn and manage country-specific HR operations and compliance processes across Malaysia, Thailand, Indonesia, Singapore, and India.
- Prepare, review, and maintain HR and compliance documentation including offer letters, confirmation letters, increment letters, immigration documents, and other employee-related letters while ensuring accuracy and compliance.
- Manage employee onboarding and offboarding processes, including employee records, MIS updates, payroll coordination with Finance, exit documentation, and expatriate tax clearance processes.
- Coordinate employee insurance and medical benefits administration across entities, including additions, deletions, claims coordination, and policy renewals. Support statutory and government compliance activities including submissions, renewals, documentation tracking, and liaison with relevant authorities.
- Coordinate Background Verification (BGV) cases via Neeyamo ScreenXchange or similar platforms by working closely with candidates and internal stakeholders to ensure timely closures.
- Support POEA/MWO compliance and overseas worker documentation processes for Philippine-based hires where required.
- Maintain operational trackers, HR records, and government portal updates with strong attention to detail and follow-through.
- Act as a coordination point between internal teams (Finance, HR Ops, Account Management) and external stakeholders (authorities, insurers, BGV vendors, banks, etc.).
What We Are Looking For Qualifications & Experience
- Diploma or Degree in Human Resources, Business Administration, or a related field
- 2–3 years of experience in HR operations, coordination, administration, or compliance roles is preferred
- Prior exposure to immigration, visa processing, or government portal handling is an advantage, but not mandatory
- Candidates without direct immigration experience should demonstrate a strong willingness and ability to learn complex processes quickly
- Exposure to staffing, consulting, or multi-country HR operations environments will be an added advantage
