Job Description – Dispatch & Loading Supervisor

The company manufactures steel products for sectors including construction, transportation, energy, warehousing and infrastructure.
Its product portfolio includes ERW steel pipes and tubes in circular, square, rectangular, hexagonal and octagonal sections.

· Metal crash barriers and other specialised cold-formed steel sections.
1. Role Purpose
To supervise dispatch and loading activities safely and efficiently, ensuring that the correct material and quantity are loaded for the correct customer onto a suitable vehicle. The role is responsible for accurate documentation and traceability, minimum loading time and handling cost, protection of materials, and close coordination with PPC, Production, Stores, Quality and transporters.
2. Role Dimensions
1. Safety, 5S & Safe Material Handling
- Ensure safe loading and material-handling practices at all times and enforce PPE and other safety requirements for loading personnel, drivers and helpers.
- Ensure the safe use of EOT cranes, other cranes, forklifts, slings, chains and lifting tackles; inspect lifting tackles before use and immediately report defective equipment.
- Ensure vehicles are correctly positioned and prevent overloading, unstable loads, unsafe stacking and anyone standing beneath suspended loads.
- Maintain clear movement paths, conduct toolbox talks and safety briefings, and immediately report accidents, near misses and unsafe conditions.
- Maintain proper 5S standards and housekeeping throughout the dispatch and loading area.
2. Dispatch Accuracy & Traceability
- Verify dispatch instructions, purchase orders, packing lists and material identification before loading.
- Confirm the correct size, grade, quantity, length, weight, customer, purchase order number and bundle identification.
- Cross-check actual loading against the approved loading or packing list and prevent incorrect material from being loaded.
- Maintain required loading records and photographs where applicable.
- Coordinate with Quality, Stores and Planning to resolve discrepancies before loading or vehicle release.
3. Loading Productivity & Cost Control
- Achieve approved daily dispatch and loading targets while minimising vehicle waiting and loading time.
- Plan the loading sequence according to vehicle type and material characteristics.
- Optimise the use of manpower, cranes, forklifts and other equipment while reducing unnecessary handling and re-handling.
- Monitor loading delays, take corrective action and control overtime and loading-related manpower costs.
- Minimise equipment operating time and handling costs, and prevent errors that could cause reloading, return freight or customer claims.
4. Material Protection & Load Security
- Ensure materials are loaded without dents, scratches, deformation or other damage.
- Ensure the correct use of dunnage, wooden supports, separators and lashing materials.
- Confirm that materials are properly positioned and secured inside the vehicle.
- Verify load stability before departure and provide tarpaulins or other covering wherever required.
- Confirm that each vehicle is suitable for carrying the material safely.
5. Dispatch Documentation & Vehicle Release
- Ensure all dispatch documents are complete before releasing a vehicle.
- Coordinate the invoice, packing list, MTC/TC, E-Way Bill, LR and customer-specific documents, as applicable.
- Record the actual quantity and weight dispatched.
- Maintain accurate daily dispatch and vehicle-loading records.
- Ensure all discrepancies are resolved before vehicle release.
6. Team Supervision & Shift Coordination
- Allocate loading personnel according to workload and operational priorities.
- Monitor attendance, discipline and overtime.
- Train workers in safe lifting, loading and material-handling practices.
- Develop multi-skilled loading operators.
- Ensure effective shift handovers and clear communication of pending work.

- Safety compliance: 100%; major loading-related incidents: zero
- Wrong loading and dispatch errors: zero
- Daily dispatch achievement: approved target
- Vehicle waiting and loading time: approved target
- Loading and handling cost per metric tonne: approved target
Loading-related material damage: zero; customer complaints: minimum
3. Ideal Candidate Qualification
- Diploma or graduate qualification in Mechanical Engineering, Production Engineering, or a relevant discipline
Experience:
- Diploma or graduate qualification in Mechanical Engineering, Production Engineering, or a relevant discipline
Key Skills & Competencies
- Strong knowledge of safe loading, lifting and material-handling practices
- Ability to supervise cranes, forklifts, lifting tackles, vehicle positioning and load securing
- High attention to dispatch accuracy, material identification, documentation and traceability
- Practical planning skills focused on loading productivity, equipment utilisation and cost control
- Team supervision, worker training and shift-handover capability
- Clear coordination and communication with PPC, Production, Stores, Quality and transporters
4. Reporting Relationship
Reports to: Dispatch Manager / Plant Head
Pay: Up to ₹500,000.00 per year
