About the Role
We are looking for a proactive, organised, and detail-oriented School Administration Officer to oversee the day-to-day administrative operations of our school in Tumakuru. The ideal candidate will ensure smooth campus operations, statutory compliance, documentation, facility management, vendor coordination, transport administration, and support the Principal in maintaining high operational standards.
This role requires excellent organisational skills, the ability to manage multiple stakeholders, and a strong commitment to creating a safe and efficient learning environment.
Key Responsibilities
School Administration
- Manage the overall administrative functioning of the school.
- Prepare daily, weekly, and monthly administrative reports.
- Coordinate with various school departments to ensure seamless operations.
- Liaise with government authorities and ensure statutory compliance.
- Organise School Management Committee meetings, maintain agendas and Minutes of Meeting (MoM).
- Coordinate with parents on administrative matters when required.
- Support annual school audits and ensure timely submission of required records.
Documentation & Records
- Maintain student admission, withdrawal, and transfer certificate records.
- Manage student and staff personnel files with complete documentation.
- Maintain physical and digital records in an organised manner.
- Ensure compliance documentation is updated and readily available.
Campus & Facilities Management
- Supervise the school campus to ensure cleanliness, safety, and security.
- Conduct routine inspections of classrooms, washrooms, laboratories, playgrounds, and common areas.
- Monitor maintenance activities including electrical, plumbing, sanitation, fire safety, and infrastructure repairs.
- Ensure CCTV systems are functional and maintain backup recordings.
- Oversee campus greenery and housekeeping standards.
CBSE & Regulatory Compliance
- Coordinate CBSE documentation and compliance requirements.
- Maintain records related to registrations, LOC, OASIS, and other CBSE processes.
- Track renewal dates for statutory certificates including fire, water, health, sanitation, and electrical safety.
- Maintain State Board compliance records where applicable.
- Assist the Principal in all regulatory and compliance activities.
Procurement & Asset Management
- Manage procurement of school equipment, furniture, laboratory materials, sports equipment, IT resources, and library books.
- Identify and develop vendor relationships.
- Obtain multiple quotations and process approvals for purchases.
- Maintain departmental stock registers and asset records.
- Conduct periodic physical verification of assets and inventory.
Housekeeping & Support Staff Management
- Supervise housekeeping, security, and support staff.
- Allocate daily responsibilities and monitor performance.
- Conduct regular inspections of cleanliness across the campus.
- Organise training programmes for support staff.
Infirmary & Student Safety
- Ensure the infirmary is well maintained and adequately stocked.
- Monitor first aid supplies and coordinate procurement of medicines.
- Maintain health and safety records as per school requirements.
Sports & Transport Administration
- Oversee maintenance of sports facilities and equipment inventory.
- Monitor transport operations, vehicle compliance, maintenance, and documentation.
- Ensure buses meet all statutory requirements including permits, insurance, fitness certificates, CCTV, fire extinguishers, and first aid kits.
- Monitor fuel usage, log books, and student transport records.
- Coordinate annual medical and eye check-ups for drivers and support transport safety initiatives.
Desired Candidate Profile
- Bachelor's degree in any discipline (Master's degree preferred).
- 3–8 years of experience in school administration, preferably in a CBSE school.
- Strong knowledge of CBSE compliance, documentation, and statutory requirements.
- Excellent organisational, communication, and coordination skills.
- Experience in vendor management, procurement, and facility administration.
- Proficiency in MS Office and school administration software.
- Ability to manage multiple responsibilities independently.
- Strong leadership and team management skills.
