Key Responsibilities
- Coordinate daily with the sales team regarding ongoing sales activities, customer updates, and order progress.
- Follow up with sales team members on pending orders, customer requirements, and action items.
- Coordinate Purchase Orders (POs) with distributors and internal departments.
- Verify order details, including products, quantities, pricing, and delivery schedules.
- Manage Distributor Appointment Forms (DAF) and maintain related documentation.
- Send welcome emails to newly onboarded distributors and customers.
- Prepare and distribute new product launch communications.
- Schedule and coordinate virtual meetings with internal teams, distributors, and customers.
- Collect daily sales updates and prepare reports for management.
- Maintain distributor records, including KYC, GST, registration documents, and other compliance records.
- Coordinate with warehouse, packing, and logistics teams to ensure timely order processing and dispatch.
- Monitor packing and dispatch status and communicate updates to stakeholders.
- Send daily coordination emails covering order status, dispatch updates, and priority actions.
- Track pending orders and ensure timely execution through regular follow-ups.
- Maintain accurate sales, distributor, and customer records in the CRM system.
- Support management with operational reports, sales analysis, and business updates.
- Resolve distributor and customer queries related to orders, deliveries, and documentation.
- Ensure compliance with company processes, documentation standards, and operational procedures.
- Collaborate effectively with cross-functional teams to support smooth business operations.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- 2–5 years of experience in Sales Coordination, Executive Assistant, Sales Operations, or Order Management.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
- Experience working with CRM and ERP systems is preferred.
- Excellent verbal and written communication skills.
- Strong organizational, coordination, and multitasking abilities.
- High attention to detail and accuracy.
- Ability to work independently and manage multiple priorities.
- Strong follow-up and problem-solving skills.
Preferred Skills
- Experience coordinating with distributors, warehouse, logistics, and sales teams.
- Knowledge of order processing, dispatch coordination, and documentation.
