■ Conduct vendor audits (physical or virtual) for high-value or new vendors before order placement.
■ Negotiate annual rate contracts for repeat-use items (cables, MC4, mounting structure, earthing material, fasteners) to lock in pricing and lead time.
■ Develop alternate sources for every critical material to eliminate single-vendor dependency.
B. Procurement Execution
■ Receive Bill of Materials (BOM) from Engineering team, validate against project SLD and design, and convert into Purchase Requisitions.
■ Issue RFQs to minimum 3 vendors for every line item above ₹50,000; conduct techno-commercial comparison; recommend L1 with justification.
■ Generate and issue Purchase Orders with complete specifications, ALMM/BIS references, delivery schedule, freight terms, payment milestones, and warranty clauses.
■ Negotiate payment terms to optimise working capital — target 30–60 day credit on standard items, advance only where unavoidable.
■ Track open POs in a daily dashboard; expedite delayed deliveries; escalate to vendor management on slippage.
■ Coordinate logistics — transport selection, e-way bill generation, GST documentation, insurance during transit, hazardous material handling for batteries (BESS).
C. Cost Control & Commercial
■ Achieve year-on-year material cost reduction of minimum 3 to 5 percent through better negotiation, alternate sourcing, and bulk consolidation.
■ Maintain item-wise rate history to track price trends for modules, inverters, copper, aluminium, MS steel, and cables.
■ Validate vendor invoices against PO terms, GST compliance, HSN code accuracy, and dispatch documents before forwarding to Finance for payment.
■ Monitor monthly procurement spend against project budget; flag any variance above 5 percent immediately to CEO and VP Projects.
■ Negotiate and administer warranty claims for module performance, inverter failures, and BoS defects.
D. Quality, Compliance & Documentation
■ Ensure 100 percent compliance with ALMM list (for modules), BIS certification (cables, MCBs, junction boxes, MS structure), IEC standards, and MNRE technical specifications.
■ Collect and archive Test Reports, Type Test Certificates, Calibration Certificates, Manufacturer Warranty Cards, and Material Test Reports for every supply.
