Job Description:
Dhillon Charter is seeking a Booking Admin to manage day-to-day coordination of our bus and coach services. This is a full time on-site role located in our indian office, Chandighar, for a Sales Specialist who will manage and grow client relationships while driving sales initiatives. Responsibilities include handling customer inquiries, providing quotes, closing sales, and collaborating with the operations team to ensure client needs are met. The role also involves identifying potential business opportunities, delivering excellent customer service, and maintaining detailed records of sales activities.
Key Qualities
- Strong Communication and Customer Service skills for effectively engaging with clients and addressing their needs
- Experience and proven ability in Sales and Sales Management to meet and exceed targets
- Skills in Training to onboard new team members and share best practices
- Ability to work on-site and maintain a proactive and organized approach
- Familiarity with the transportation or charter services industry is a plus
- Proficiency in using CRM software or sales tools is beneficial
Primary Responsibilities:
1. Quotation Management
- Prepare and send accurate quotes to customers based on their requirements.
- Update and move quotes between systems (CRM, Booking, or ERP tools).
- Track quote status and follow up with customers to confirm bookings.
2. Customer Communication
- Respond to customer emails and queries in a timely and professional manner.
- Handle incoming phone calls and assist customers with their booking-related questions.
- Provide excellent customer service to maintain a positive client relationship.
3. Booking Coordination
- Enter and maintain booking details in the company system.
- Coordinate with internal teams (operations, accounts, dispatch) to ensure all bookings are processed accurately.
- Update customers about booking confirmations, modifications, or cancellations.
4. Email and Documentation Management
- Regularly check company email inboxes and ensure timely responses.
- Maintain accurate records of quotes, communications, and transactions.
- Assist in generating reports and summaries for management review.
5. System Administration
- Move and organize quotes or bookings between systems as required.
- Ensure data integrity across systems and update status logs.
- Suggest improvements in system processes for better efficiency.
Back-Office Tech & Communication Support
- Update MYBus or similar transport portals with quotations, job allocations, changes, and completions.
- Manage communications, relaying non-urgent messages between customers, drivers and the operations team.
- Record and track customer and driver feedback, ensuring issues are followed up locally.
Qualification & Skills
- Minimum 1–2 years’ experience in transport operations, dispatch, or fleet coordination.
- Bachelor’s degree in business, management, logistics, or a related field preferred (not essential).
- Excellent communication and interpersonal skills for working with staff at all levels.
- Strong organisational and time management abilities.
- Ability to take initiative and make quick operational decisions when needed.
- Flexible, practical approach with strong problem-solving skills.
- Confidentiality and diplomacy in handling sensitive information.
- Strong commercial awareness and focus on service delivery standards.
