Role Summary
The Receptionist cum Front Office Administrator is responsible for managing the front desk operations, creating a positive first impression for visitors, handling incoming calls, and providing administrative support to ensure the smooth functioning of the office. The role requires excellent communication, organizational skills, and a customer-focused approach.
Key ResponsibilitiesFront Office Management
- Greet and welcome visitors, clients, and employees in a professional and courteous manner.
- Manage the reception area to ensure it is clean, organized, and presentable.
- Handle incoming and outgoing telephone calls and route them to the appropriate departments.
- Maintain visitor records and issue visitor passes as per company policy.
- Coordinate meeting room bookings and ensure meeting rooms are prepared.
Administrative Support
- Provide administrative assistance to HR and other departments.
- Maintain office files, records, and confidential documents.
- Handle incoming and outgoing courier services, parcels, and postal correspondence.
- Assist in preparing letters, reports, presentations, and other documents.
- Maintain office stationery inventory and coordinate procurement when required.
- Coordinate housekeeping, pantry, and office maintenance activities.
Office Coordination
- Support employee onboarding by coordinating visitor access, ID cards, and workstation readiness.
- Coordinate with vendors for office supplies and maintenance services.
- Ensure office assets and common areas are properly maintained.
- Assist in organizing company meetings, events, and employee engagement activities.
- Support travel bookings and accommodation arrangements whenever required.
Record Keeping
- Maintain attendance registers, visitor logs, courier records, and office asset registers.
- Update administrative databases and ensure records are accurate and up to date.
- Prepare periodic administrative reports as required.
Required Qualifications
- Bachelor's degree in any discipline.
- 1–3 years of experience as a Receptionist, Front Office Executive, or Administrative Executive.
- Freshers with excellent communication skills may also be considered.
Required Skills
- Excellent verbal and written communication skills in English and Tamil.
- Pleasant personality with professional etiquette.
- Strong interpersonal and customer service skills.
- Good organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Basic knowledge of office administration and documentation.
- Ability to handle confidential information with discretion.
