Job Summary
The Admin Executive will be responsible for managing day-to-day administrative operations of the office, ensuring smooth functioning of facilities, vendor coordination, procurement of office supplies, travel and accommodation arrangements, and providing general support to all departments.
Roles & Responsibilities
A. Office Administration Manage day-to-day office operations, maintain supplies and inventory, and handle incoming/outgoing correspondence and document management.
B. Vendor & Facility Management Coordinate with vendors for office maintenance and facility services, obtain quotations, and ensure timely renewal of AMCs and utility contracts.
C. Travel & Accommodation Coordination Arrange travel and hotel bookings for employees, maintain travel records, and manage vehicle scheduling for staff and visitors.
D. Documentation & Record Keeping Maintain administrative files, agreements, and statutory documents; assist in MIS preparation and ensure timely renewal of office licenses and registrations.
E. Support to HR & Other Departments - Assist in new joiner onboarding logistics, coordinate IT requirements, and provide general administrative support across departments.
F. Petty Cash & Expense Management- Manage petty cash, maintain expense records, and coordinate with accounts for timely processing of admin bills and vendor payments.
Key Skills & Requirements
- 2–4 years of experience in office administration or a similar role.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good communication skills in English, Hindi, and Gujarati (preferred).
- Strong organizational and multitasking abilities.
- Ability to coordinate across departments independently.
