Job Summary
The Accounts Executive will be responsible for managing day-to-day accounting operations, inventory accounting, statutory compliance support, export documentation, banking coordination, factory administration, and management reporting. The role requires close coordination with internal departments, vendors, factory personnel, transporters, banks, and external consultants to ensure accurate financial records and smooth operational processes.
Key Responsibilities
Accounting Operations & Bookkeeping
* Record all day-to-day financial transactions in the accounting software.
* Enter purchase invoices, expense bills, and journal vouchers.
* Maintain petty cash receipts and payments.
* Record accounting entries for inward and outward material transactions.
* Verify vendor invoices before accounting entry.
* Coordinate with vendors for invoice corrections and supporting documentation.
* Maintain accurate general ledger records.
* Process administrative and factory-related expenses.
* Prepare and circulate payment advice.
* Maintain proper filing of accounting vouchers, bills, and supporting documents.
Inventory & Stock Management
* Maintain daily stock-in-hand records.
* Record daily inward and outward material transactions.
* Perform daily stock reconciliation and physical stock tally.
* Coordinate with the Factory In-charge for stock verification.
* Maintain stock-related documentation and records.
* Report stock shortages, mismatches, or discrepancies to management.
GST, TDS & Statutory Compliance
* Prepare GST data for return filing.
* Coordinate with the Chartered Accountant for timely GST return filing.
* Prepare TDS working and coordinate TDS return filing.
* Maintain statutory challans and compliance records.
* Generate and maintain E-Way Bills.
* Verify transport bills, challans, and related statutory documentation.
Export Documentation & Logistics Coordination
* Prepare export-related documentation.
* Coordinate with export agencies and logistics partners.
* Prepare and verify packing lists.
* Coordinate container bookings with the designated logistics coordinator.
* Track container movements and maintain shipment records.
Banking & Financial Coordination
* Handle routine banking activities and documentation.
* Assist in bank reconciliation statements.
* Coordinate with banks regarding operational requirements.
Reporting & MIS
* Prepare daily accounting and factory reports.
* Prepare weekly expense reports.
* Prepare weekly petty cash reports.
* Generate payment-related reports and management information as required.
Factory Administration & Attendance Management
* Manage factory-level administrative expenses.
* Maintain factory petty cash records.
* Record and maintain attendance of contract labour.
* Maintain attendance records of factory staff.
Team Support & Additional Responsibilities
* Support the Senior Accountant in accounting, reporting, compliance, and finance-related activities.
* Coordinate with internal departments to ensure timely completion of finance and administrative tasks.
* Perform any other accounting, finance, or administrative duties assigned by management from time to time.
Qualifications
* Bachelor's degree in Commerce (B.Com) or equivalent.
* Additional qualification in Accounting, Finance, or Taxation will be an advantage.
Experience
* 2–5 years of experience in accounting, inventory management, GST compliance, and factory accounting.
* Experience in a manufacturing environment will be preferred.
Required Skills
* Strong knowledge of accounting principles and bookkeeping.
* Working knowledge of GST, TDS, and statutory compliance.
* Experience with accounting software (e.g., Tally ERP/Tally Prime or similar ERP systems).
* Proficiency in Microsoft Excel and MS Office.
* Understanding of inventory accounting and stock reconciliation.
* Familiarity with export documentation and logistics coordination.
* Good analytical, organizational, and documentation skills.
* Effective communication and vendor coordination abilities.
* Ability to prioritize work and meet deadlines with accuracy.
