Job Summary
The Pharmacy Store Executive is responsible for managing pharmacy inventory, maintaining adequate stock levels, ensuring proper storage of medicines and consumables, monitoring stock movement, and maintaining accurate records through Excel and inventory management systems. The role requires strong organizational skills, attention to detail, and knowledge of pharmaceutical inventory control practices.
Key ResponsibilitiesInventory & Stock Management
- Monitor daily stock levels of medicines, surgical items, consumables, and medical supplies.
- Ensure optimum inventory levels to prevent stock-outs and overstock situations.
- Maintain accurate records of stock receipts, issues, transfers, and returns.
- Conduct regular physical stock verification and reconcile discrepancies.
- Monitor expiry dates and ensure timely utilization or removal of near-expiry products.
- Implement First Expiry First Out (FEFO) and First In First Out (FIFO) inventory practices.
- Generate purchase requisitions based on stock requirements and consumption patterns.
Store Operations
- Receive, inspect, and verify incoming pharmaceutical products against purchase orders and invoices.
- Ensure proper storage conditions as per manufacturer and regulatory guidelines.
- Maintain cleanliness and organization of the pharmacy store.
- Coordinate with pharmacy, nursing, and procurement departments for stock requirements.
- Handle vendor deliveries and maintain proper documentation.
Documentation & Reporting
- Maintain stock registers and inventory records accurately.
- Prepare daily, weekly, and monthly inventory reports.
- Generate consumption, stock valuation, and expiry reports.
- Maintain records of damaged, expired, and returned items.
- Ensure compliance with hospital policies and regulatory requirements.
Excel & System Management
- Maintain inventory databases using Microsoft Excel.
- Prepare stock reports, consumption analysis, and reorder level reports using Excel functions.
- Utilize formulas, filters, pivot tables, VLOOKUP/XLOOKUP, and data analysis tools for inventory tracking.
- Update inventory management software and ERP systems regularly.
- Generate management reports and dashboards as required.
Compliance & Quality Control
- Ensure compliance with hospital pharmacy standards and inventory control procedures.
- Assist during internal and external audits.
- Maintain confidentiality of inventory and procurement data.
- Follow safety and infection control policies.
Required Qualifications
- Bachelor's Degree or Diploma in Pharmacy, Commerce, Supply Chain Management, or related field.
- Certification in inventory management is an added advantage.
Experience
- 1–5 years of experience in pharmacy store management, inventory control, or hospital pharmacy operations.
- Experience in hospital or retail pharmacy inventory management preferred.
Required Skills
- Strong knowledge of inventory and stock management.
- Proficiency in Microsoft Excel (formulas, pivot tables, lookups, reporting).
- Knowledge of pharmacy inventory software/ERP systems.
- Good analytical and numerical skills.
- Strong organizational and record-keeping abilities.

- Effective communication and coordination skills.
- Ability to work under pressure and meet deadlines.
