The Reception is the first point of contact for all patients and visitors. This role is crucial in creating a positive and professional first impression, managing administrative tasks efficiently and ensuring smooth operations of the clinic’s front desk. The ideal candidate will be warm, organized, tech-savvy, and capable of handling multiple tasks in a high-paced environment.
Key Responsibilities:
Patient Interaction & Customer Service:
- Welcome patients and visitors with a professional and friendly demeanour.
- Handle incoming calls, emails, and online inquiries promptly and courteously.
- Schedule, confirm, and reschedule patient appointments accurately using the clinic’s management software.
- Provide clear instructions regarding clinic procedures, policies, and financial matters.
- Address patient queries, complaints, or concerns promptly and escalate issues to management when necessary.
- Maintain confidentiality of all patient records and personal information, in line with privacy regulations.
Administrative & Operational Tasks:
- Manage patient registration and maintain up-to-date records in the clinic management system.
- Collect, process, and record payments, invoices, and receipts accurately.
- Maintain front desk cleanliness, stock of patient forms, and other essential office supplies.
- Coordinate with dental assistants, clinicians, and other staff to ensure smooth patient flow.
- Prepare daily reports on appointments, cancellations, and patient feedback for management review.
- Assist in insurance verification, billing, and claim processing as needed.
Technology & System Management:
- Operate clinic management software efficiently for scheduling, billing, and patient records.
- Maintain a basic understanding of dental procedures and services to assist patients accurately.
- Update online booking platforms, social media, or patient communication portals as required.
Qualifications & Skills:
- Prior experience in a front office or receptionist role, preferably in a premium healthcare or dental clinic setting.
- Exceptional communication and interpersonal skills.
- Professional appearance and a friendly, approachable demeanour.
- Strong organisational skills, attention to detail, and multitasking ability.
- Proficiency in MS Office and familiarity with clinic management software.
- Ability to remain calm under pressure and handle difficult situations tactfully.
- Knowledge of dental terminology and insurance procedures is a plus.
