Role Summary
The Sales Coordinator will be responsible for managing customer inquiries, preparing quotations, coordinating with internal departments, maintaining CRM records, tracking orders, supporting the sales team, and ensuring timely execution of customer requirements. The ideal candidate should possess excellent communication skills, strong coordination abilities, and experience in handling industrial sales operations.
Key Responsibilities
1. Sales Coordination
- Coordinate daily with the Sales Head and Sales Engineers.
- Prepare quotations, commercial offers, and Proforma Invoices (PI).
- Follow up with customers on quotations and Purchase Orders.
- Ensure timely closure of sales inquiries.
- Maintain complete inquiry and quotation records.
2. Customer Relationship Management
- Respond promptly to customer calls, emails, and inquiries.
- Build and maintain long-term customer relationships.
- Coordinate customer meetings whenever required.
- Resolve customer concerns through effective coordination.
3. CRM & Lead Management
- Update all customer interactions in the CRM system.
- Track inquiries from receipt to order closure.
- Maintain an accurate sales pipeline.
- Ensure no pending lead remains without follow-up.
4. Order Processing & Coordination
- Coordinate with Production, Stores, Dispatch, Service, and Accounts teams for smooth order execution.
- Verify customer requirements before processing orders.
- Monitor delivery schedules and proactively update customers.
- Ensure timely dispatch and accurate documentation.
5. Documentation & MIS
- Prepare Daily Sales Reports.
- Maintain customer databases.
- Generate Pending Quotation Reports.
- Prepare Order Status Reports.
- Maintain Sales Order and Purchase Order records.
- Ensure complete documentation for every customer transaction.
6. Payment & Dispatch Coordination
- Coordinate with the Accounts team regarding customer payments.
- Follow up on pending payments whenever required.
- Coordinate dispatch schedules with logistics and dispatch teams.
- Keep customers informed about dispatch status.
7. Administrative Support
- Schedule customer meetings and internal sales meetings.
- Maintain department records and documentation.
- Support the Sales Head in preparing presentations and reports.
- Assist in exhibitions, trade fairs, and customer events when required.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Marketing, or a related field.
- MBA (Sales/Marketing) will be preferred.
Experience
- 2–5 years of experience as a Sales Coordinator, Inside Sales Executive, Customer Support Executive, or Sales Operations Executive.
- Experience in Industrial Machinery, Packaging, Manufacturing, Engineering, Automation, or B2B Sales will be preferred.
