Position Title: Personal & Executive Coordination Assistant
Location: Surat (Office-based, occasional home coordination)
Experience: 1-2 years
Role Objective:
To support the Chairperson by managing daily coordination, scheduling, reminders, documentation, and follow-ups so she can focus on strategic decision-making.
This is a high-trust, high-discipline role.
Key Responsibilities:
A. Calendar & Scheduling:
- Manage daily calendar in Google Calendar
- Schedule meetings with buffer time
- Avoid conflicts and overlaps
- Send reminders before meetings
- Confirm meetings 1 day prior
B. Follow-Up & Coordination
- Maintain follow-up tracker
- Remind internal teams about pending items
- Track payment deadlines
- Vendor coordination (home & office)
- Travel booking (flight/train/hotel)
C. Documentation & Organization
- Organize Google Drive folders
- Maintain file naming system
- Keep a record of agreements, bills, and contracts
- Maintain personal & business reminder sheet
D. Personal & Family Coordination
- School communication coordination (Kapeesh)
- Doctor appointments scheduling
- Utility payment reminders
- Festival & birthday reminder tracking
E. Online and offline Purchase & Procurement Management
The assistant will be responsible for:
Research & Comparison
- Compare products across platforms (Amazon, Flipkart, Myntra, FirstCry etc.)
- Shortlist 2–3 best options
- Share comparison summary before purchase (if above ₹3,000)
Order Execution
- Place online orders after approval
- Ensure correct billing & delivery address
- Track shipments
- Follow up on delayed deliveries
Returns & Refund Handling
- Manage return requests
- Ensure refund credited
- Maintain refund tracker
Budget Discipline
- Maintain a monthly purchase log
- Categorize:

Subscription & Essentials Tracking
- Monitor recurring purchases
- Avoid duplicate orders
- Ensure essentials never run out
Mandatory Requirement
