The Role
We're looking for a sharp, organized, and proactive Admin & Operations Associate to be the operational backbone of our team. You'll work directly with the Director to keep the business running seamlessly — owning scheduling, the CRM, payments, lead follow-ups, and the day-to-day coordination that keeps families and therapists in sync.
If you spot a scheduling gap or a pending payment before it becomes a problem, you'll fit right in.
What You'll Do
- Own the schedule. Manage daily scheduling and rescheduling of therapy sessions, team meetings, and client calls — ensuring zero conflicts and timely reminders for everyone involved.
- Run the Director's calendar. Prioritize, block time, and prepare for every commitment so nothing slips.
- Keep the CRM clean. Update it daily — log lead interactions, session updates, follow-up notes, and client status accurately.
- Track every payment. Send invoices, follow up on dues, confirm receipts, and maintain clean, reliable payment records.
- Follow up with leads. Call prospective families, answer queries, share service information, and book discovery calls.
- Support sales calls. Assist with presentations, take notes, and own all post-call follow-through.
- Keep sessions running smoothly. Manage session logistics so families have a stress-free experience start to finish.
- Coordinate team meetings. Prepare agendas, take minutes, and chase action items to closure.
- Be the first point of contact. Handle parent and caregiver inquiries with warmth and professionalism.
What We're Looking For
- 1–3 years of experience in admin, operations, coordination, or inside-sales roles.
- Hands-on experience with a CRM tool (Zoho, HubSpot, Freshsales, or similar).
- Comfort handling payment follow-ups and maintaining basic financial records accurately.
- Excellent verbal and written communication in English and Hindi (a regional language is a bonus).
- Strong command of Google Workspace — Calendar, Sheets, Docs, and Meet.
- Confidence making outbound calls and handling client interactions with empathy.
- A highly organized mind — you catch scheduling gaps and pending payments before they become problems.
Bonus Points
- Experience in healthcare, education, or a child- or family-facing service.
- Familiarity with teletherapy or virtual-session logistics.
- A knack for turning messy processes into simple, repeatable systems.
Pay: ₹15,000.00 - ₹20,000.00 per month
